V11.40.19 deployment tonight for Santa Clara Data Center?

We just received an email from our SAM about 15 mins ago regarding a V11.40.19 deployment tonight for our datacenter that will put us offline from 9.30pm to 4am next day.

I would like to inform you about the bulk deployment for V11.40.19, which is scheduled for the datacenter you are hosted on tonight. The Release notes are available on the support portal. The application will not be available from 9.30 pm PDT – 4 am PDT. This is only a server side change and no client side action needed.

The only thing I see on the notification portal is this notice, but not until Nov 2nd, did this get moved up possibly? Anyone else receive an email??

Dear eClinicalWorks Customer,

eClinicalWorks is constantly reviewing technology platforms and architectures to provide clients with the best possible hosting solutions, and to plan for projected growth.  As a result, eClinicalWorks will be completing required maintenance on the database servers in the Santa Clara, CA hosting facility.

This maintenance has been scheduled for Saturday, November 2, 2019 from at 12:01AM ET to Saturday, November 2, 2019 at 9:00 AM ET.

During this time, eClinicalWorks will not be available. This maintenance will occur on the server side; no client action is needed.

Am I looking in the wrong place? Does anyone have any more info? Is this suppose to be a major upgrade that we’ll have to deal with tomorrow morning with settings changed all across the board? I wish we had more info.

Any info would be greatly appreciated.


How do you handle Patient Portal Support?

Especially for some of the bigger/multi-practice organizations - how do you handle Patient Portal support? 

If a patient has questions or trouble with the patient portal website or the Healow app, who do they call?  Does your IT support handle it?  The practice?  Do you have a dedicated group?

V11 New look for e jellybean/quick launch button

Many folks who are using V11 have mentioned a new look and feel to the e jellybean/quick launch button.  Would anyone on the .exe version of V11 be willing to upload or email screen shots? [with PHI covered, of course] I would like to give my providers a heads up to reduce the irritation factor smile

Registration Rules Engine

Hello all! We have been exploring registration rules for some time now and have found them helpful for our scheduling staff. As we build more in the system, we are being cautious of the impact this could have on performance. When staff create appointments, so far we have not seen slowness from the system searching in the background to trigger the rules. Has anyone experienced registration rules slowing down the scheduling process?

I have been using ECw since 2009.

I know there are features that I might not have enabled.

So here is my request.

WIth all the insurance needing HEDIS codes, BMI, etc - is there anything that will automatically add some of these codes (CPT and ICD) for me?

I have templates created to assist and a superbill created however they want it to magically appear.

For example, MA enters ht, wt and BMI is calculated.
Is there anything that will automatically put the appropriate ICD code for that BMI?

I can create a clinical rules engine however it only activates after DONE and my database is shared amongst various practices that will not use this option. so they will have another click to by pass.

Another request is when the PHQ9 is completed for it to populate the CPT.

Just trying to save the docs some clicks!

Visit Status Default change

Does anyone know how to change the default Visit Status in the Appointment Screen.  Ours is set to Pending, but I would like to change it to something else.

configuring Vitals in Tracking Board

Is there a way to set which vitals we want to get an alert about on Tracking Board?  We don’t want to see out-of-range weights, but we do want to see SpO2, HR, RR.

We are still on 11exe but are preparing to start on 11e.

Documenting medications (oral, injections, and nebulized) administered during an office visit

We have a pediatric practice in which we administer a number of medications in house, Tylenol, Motrin, Prelone, dexamethasone, atarax, zyrtec rocephin, and nebulized medications such as albuterol.  In the past we have documented the dose and the lot number on our paper progress note.  How are other practices ordering and tracking whether such medications have been administered?  For example, if a child comes in with a 104 fever how does a practice document an order for Motrin 100 mg (1 tsp.) and that the order for Motrin has been executed.  In some posts I have seen that other users have documented such medication orders in the immunization field, if this is the case does this medication appear on their immunization record?

Has anyone found the documentation on the content distribution download function?

I’m referring to the MVX, CVX Codes, NDC Codes, Imm Series, Lab Community, NDC Lookup, LOINC, etc

I haven’t seen anything that advises me when we as an organizations should performing the download.

Where should I be looking to know when a download is available and will be providing new content?

E jellybean change requests

Hello everyone,

We get flooded by CVS for requests to change to 90 day supply of prescription. 90% of this time it is inappropriate (original prescription is for 10 days of antibiotics, or 7 days or prednisone or a chemotherapeutic agent that is being titrated). Is there any way to select these change bulk request and clear them all.

Documenting HX of Chicken Pox

I’m running into brick walls everywhere I go here…  We need to know how to document that a patient had history of chicken pox (not the vaccine)...easy enough in HX but not so.  Apparently we need to document it somehow so that it gets sent to our state with immz.  Makes no sense to me, just repeating what was told.  ECW only told me how to look at the interface logs to see what was sent, and the State CIIS staff hasn’t responded to several email requests for assistance.

Any thoughts?

Anyone else experiencing significant problems with eCW?  We’ve had to go to DownTime procedures and I cannot get through to eCW.  Technical support will only allow to leave a voicemail. 
Any thoughts?  Wondering if its the hard freeze across the country?  We’re in New Orleans so nice and warm here

We are a new practice, just over a year old.  That’s also how long we have been using eCW.  I am curious to know where you guys are putting your surgical orders?  We can’t seem to find an efficient place for it.

Rearranging the Documents folder

I had rearranged the documents folder to put the ones the front office uses the most on top like PMH, HPI HIPAA etc.

The latest update put everything back in alpha order.  Any hints on rearranging it again?


Jellyfish Users?

Does anyone use jellyfish with eCW to provide current wait times on your websites?  We have heard from jellyfish that they currently have one eCW user - we would love to speak with that user!

Circle of Care/Care Team updates

We have CCMR activated and have found a bit of a SNAFU that I am hoping someone can help me with. During the enrollment process of the patient into a Care Plan in CCMR, we select the providers/users that are part of the patient’s Care Team. Once this Care Team is established, it shows up in the Circle of Care area in Demographics (surprise!).
Our issue is we are not able to update a Care Team if the Care Plan has been closed. This doesn’t seem like a big deal until a provider/care manager leaves our practice . . . . and continually shows up on our After Visit Summaries. The workaround we are doing is to uncheck that part of Visit Summaries but we would prefer to remove the former employee from the Care plan . . . .
Support told us that there is no way to do this for closed Care Plans.  Anyone out there have a solution?

Cannot Save Midmark EKGs

If I make any edit to Midmark EKGs, then try to save, I get error messages, then “circle”, then crash. I have to restart the app.

This has been going on for months (V11) and no response from support.

Anyone with similar experience or ideas to fix?
