Immunization Registry failure - is yours working properly?

In the course of doing some legwork to address another issue, we had reason to compare what was being sent by our Immunization Registry interface to the state of Texas’s ImmTrac 2, and comparing it also to immunizations given to patients who have a “1” value in the Immconsent column in the patientinfo table of the database, which means they consented to have the data shipped upstream to TX. The values do not match. Many are missing. eCW has worked on it to no avail for a couple of days. Has anyone else had an issue with this data not flowing properly?

With mandatory reporting of the COVID vaccine, this is an issue. We’re going to all manual reporting once we get the vaccines because we can’t trust the interface and we all know what a labor-intensive task that’ll be.

Might be wise to audit your interface, especially if you’re self-hosted.

NYSIIS interface for COVID19 vaccination data

All,

For those of you in NYS, how are you handling the latest NYS Executive Order that all COVID19 and Influenza vaccination data be sent to NYSIIS within 24 hours? We currently have an interface with NYSIIS but it’s only for child immunizations. Not sure if that same interface can be used to transmit all the required COVID19 data.

eCW and Server 2019 RDS

First post here, be gentle.

I’m working with a client that has nearly 200 endpoints across 25 different sites, some sites being pretty low bandwidth.  They are currently using the EXE version.

For a number of reasons I really think eCW over Remote Desktop Services (Terminal Server) would be a big benefit, mainly performance and ability to upgrade editions relatively quickly.

I setup a pilot and all was going well, rave reviews.  When we got to the point of testing the scanners, we ran into problems.  I’m using RemoteFX USB redirection, and that works fine, the issue is that from within eCW (Version 11.4), when you go into Patient Doc, and select the ‘Select Scanner’ window, it doesn’t open, nothing happens.  I can select ‘Advanced Scan’ and scan that way, but that is a bit of a hastle.

Working with eCW they upgraded to the latest version of 11.4.x with the same results, they tried a bunch of different things, and in the end said that the ‘select scanner’ window, for whatever reason, isn’t going to work on Server 2019.

My question to those with more experience, any one run into this problem?  Anyone have scanning working properly on Server 2019, RDS too?  What about Server 2016?  I’m open to deploying Server 2016 for this effort.  I’ve put in some major effort on this, and I think eCW made a genuine effort as well, I just know that no single entity is as powerful as the collective eCWusers.

eCW EPCS Enrollment - AD FS Enabled

Is there any other practice with AD FS enabled that has enabled EPCS?

We are currently struggling with being able to validate the providers identity, each time we try, it simply times out the session. I have a ticket open but it does not seem to be very helpful and the deadline to have our providers enabled in quickly trickling down.

Hello,

So now that mobile check-in has been released for those cloud hosted clients, I wanted to see if any one would be willing to share their experiences and what they think of the product so far. We are not cloud hosted so we are still waiting to the general release of it. From the release notes that we have seen, we are a little concerned about the lack of control when it comes to what can and cannot be hidden e.g. medical hx, medications, etc.

moving subcategories to different category in HPI

I’ve used ecw exe version before.  Just recently went back to it and am using the browser version.  I’ve always hated the HPI categories and am trying to rebuild them to my liking.  Is there a way to move a subcategory such as breast cyst from “Breast surgery consultations” to a different category?  I hate to have to rebuild the wheel.

New users -“Please go to the Document Management window…..”

We’ve been having this issue where 9/10 of our new users can’t access patient docs. They get the message “Please go to the Document Management window and click to Configure Folders button to provide access the folder to the specific user.” Simple enough, follow those instructions and it’s fixed. Wrong. I’ll select all users from the admin account, from the new users individual account, reset cache, nothing seems to work. A few days after trying the setting will magically stick which makes me think it’s a cache issue. Anyone else have this issue or another workaround?

I am really disliking the new modern view of the support portal!  I’ve been working with eCW for 8 years and all of a sudden they throw me for a loop!  Anyone know if we can continue to see the classic view?  We could at first, but I am not seeing the option any longer.  Thanks

ECW Outage/Resource schedule issues

Earlier this morning our users began to experience a slowdown when loading their resource schedule and eventually chrome no longer responding. For some users who had the resource schedule set in their my settings as a default screen would even be stuck building their user experience. I also had a fresh workstation I was creating get a internal server error popup after logging. I have created a ticket but not response yet. our office had a similar issue last month I believe with a resource schedule slowdown to a crawl. we are using v11e Plugin with the most recent client version.

I was able to get some users to avoid the resource schedule by going into my setting and applying my setting to their account on the bottom to use the office visit screen instead of the resource schedule temporarily. For appointments I am recommending using the new appointment button in the bottom left of a patients hub.

Anyone else experience similar issues we are using ecw’s cloud hosted environment.

PDMP - patient identifiers

What is the matching criteria for accessing patient data using PDMP? I ask because we had a provider run a PDMP check for a patient that returned zero results. When the provider changed the patient’s last name to their maiden name, it pulled a list of medications. How can we be sure we’re getting 100% of the information?

Mandatory reporting COVID-19 Vaccine and Immunization Registry consent workflow

With the mandatory reporting of the vaccine, we’re trying to get our workflow figured out and the consent box in demographics for transmission to state registries (one of the states we do business in does not have automated reporting) is presenting a dilemma.

To transmit, the box must be checked. But checking the box will also push all existing vaccines for which the patient did not give consent. I know the feature has been designed around the assumption that consent would always be voluntary and not imposed as in our current environment, so I’m not blaming eCW for the way this works. We do, however, have to deal with the fact that if a patient hasn’t consented otherwise, they haven’t consented.

Could we obtain consent for all past vaccines as well? Yes, but what about the patient who says, “No” to all past vaccines? We could bypass the interface and enter all the COVIDs manually into the Registries… but that’s decidedly less than optimal.

What are you doing for this?

E.g., “Copy and paste causes data loss.” See what the Portal says below. One hopes they don’t think data loss is of “Low” clinical risk in their inpatient product (emphasis mine).

Is anyone else still experiencing an OUTAGE/SLOWNESS today?  15 minutes to log in and 1-2 minutes for any screen to change.  I have tickets opened - on my 3rd one as they keep saying it’s fixed.  SAM has been notified as well.  I am ready to just leave work as I cannot do ANYTHING!


TeleVisit Visit Types

Are you creating and naming your TeleVisit visit types = “TeleVisit” or something similar, and checking the box to create it as a Healow TeleVisit? 
We have so many specialties and visit types (Gender clinic, PrEP, Behavioral Health, so many more plus the usual NP and EST appts, wondering how you are distinguishing between them as TeleVisits.  Any info is appreciated.

Tracking COVID 19 Vaccine Doses

Has anyone come up with a plan on how to track and recall patients who are overdue for second COVID 19 vaccine dose? Our clinic has not started providing to patients yet, but would like to be prepared. We plan to encourage offices to book an appointment for their second dose, immediately after the first - however if a patient cancels or no shows, we want to be able to recall the patients as quickly as possible.

Referral Mandatory Fields

Has anyone been successful or tried to get eCW to make more fields in Outgoing Referrals mandatory? Specifically ‘Specialty’ or ‘Procedure’. Currently DX and Assigned to are mandatory and there isn’t a front end setting to change. Thank you

Switching from EXE to Browser

We use EXE exclusively.  I use the Browser , for certain things that don’t work in EXE .  I am trying to get more comfortable with the Browser version , but struggle in searching for different things.  I would like to see if there is any benefit to the Providers to switch over.  What have others done to learn it,  i have tried searching the Web site , but am not finding anything.

Registry report on OB Flowsheet data

Is it possible to run a Registry report on OB Flowsheet data?  Or would we have to put the data in a structured field in OB History?

We are looking to run a report on gestational ages.  For example, running a report on all pregnancies that are 36 weeks to send their chart to the hospital.
