I am really disliking the new modern view of the support portal! I’ve been working with eCW for 8 years and all of a sudden they throw me for a loop! Anyone know if we can continue to see the classic view? We could at first, but I am not seeing the option any longer. Thanks

US eCW Access Internationally using VPN
Most of us know the issue about accessing eCW SaaS from outside the US doesn’t work… unless you let eCW know, and they can create a temporary rule to allow access, or a perm rule. Recently, for our practice, we have patients who go back home or on vacation, but want to keep their Televisit appointment (outside the US). This is fine as I prefer and respect the added security eCW puts to the general access form the Internet, but it does pose some challenges.
So far, there are only three ways I know of to get this to work:
1) Using a VPN, and connect to a US Server, which would then allow the access - preferred
2) enter a My.eCW Case for a temporary rule to allow that particular country, for a specific date - works well, eCW is responsive and prefers this, but I feel it also adds a risk
3) Using a remote desktop session to some VM or other machine (not using a VPN) within the US and using that to connect
Obviously a combination of 1 and 3 would also work. In addition, providers who go on vacation can also do the same (its the same for both patients and providers).
My questions is: does anyone else have this same requirements, and if so, did I miss anything or wereare you aware of the options?
In addition, I’m familiar with myself and other patientsproviders using PureVPN, and PIA (Private InternetAccess), anyone have success with others? recommend others?
Clearing Chrome ecw cache
Hi all,
Does anyone know if it’s possible to manually clear the cache in the browser version of ecw? It does seem to clear automatically periodically, but I’d like to see if clearing it manually a little more often can help it continue to run more quickly.

GETTING CPT CODE TO APPEAR ON RADIOLOGY ORDER
Is there a way to get the CPT code associated with a radiology order to appear on the order itself in a printed or faxed form?
The reason I ask is that we often have the scenario of generating a DI order, such as “CT Urogram”, which is associated with a CPT code such as “CT abd with/without contrast”, but the code does not appear on the order. This creates call backs from radiology to the front desk of our office as radiology tech is confused about what is specifically being ordered. This happens over and over and…

Mandatory reporting COVID-19 Vaccine and Immunization Registry consent workflow
With the mandatory reporting of the vaccine, we’re trying to get our workflow figured out and the consent box in demographics for transmission to state registries (one of the states we do business in does not have automated reporting) is presenting a dilemma.
To transmit, the box must be checked. But checking the box will also push all existing vaccines for which the patient did not give consent. I know the feature has been designed around the assumption that consent would always be voluntary and not imposed as in our current environment, so I’m not blaming eCW for the way this works. We do, however, have to deal with the fact that if a patient hasn’t consented otherwise, they haven’t consented.
Could we obtain consent for all past vaccines as well? Yes, but what about the patient who says, “No” to all past vaccines? We could bypass the interface and enter all the COVIDs manually into the Registries… but that’s decidedly less than optimal.
What are you doing for this?

Where in ecw can I enter custom options which can be chosen through the click-box when trying to make prescriptions? Is there a way to set them practice-wide? Or does it have to be set for each user one at a time.

requesting a COVID-19 Vaccine Screening Smart Form
Just as a heads up to other practices, we are earnestly requesting a COVID-19 Vaccine Screening Smart Form from eCW. As we have been informed for the last ~1.5y eCW is not accepting external requests for Smart Forms, but we are making the case that just as the Respiratory Illness Screening Smart Form was developed in response to the pandemic, the Vaccine Screening Smart Form is the next feature needed by many eCW practices.
Our SAM has escalated the request to the FQHC Biz Development Lead. We eagerly await a response as we are confident the Smart Form will help with the safety and efficiency of administering and documenting the vaccine, and will be a welcome addition to the Order Set we are building.
COVID Vaccine - multiple admin codes (please help!)
I’m trying to figure out how to setup our COVID vaccines in eCW and running into walls. We have the Moderna vaccine and the first dose has admin code 0011A and the 2nd dose is 0012A. These admin codes are not insurance specific…
eCW told me to go in and put the admin code on the vaccine (new immz screen) but it’s still dropping the primary/secondary admin codes and not the ones on the immz.
How do we do this without billing changing the admin code on every dose?
Received vaccine today and they are wanting to starting giving doses on Thursday…
eCW, The 2017 Settlement and special characters
This relates to the letter we all recently received from eCW concerning patient safety. It was quite broad, vague and made it look like there is nothing going on. The letter was a result of an October 2020 communication from the OIG (Office of Inspector General) to eCW (full document can be viewed here: https://oig.hhs.gov/fraud/cia/agreements/eCW_10-30-20.pdf) stating the OIG is not particularly happy with the resolution to the issues in the 2017 Whistleblower Settlement. One element in the letter of interest is our friend the “special character.” We all know the havoc these can cause in our documentation. Well, the October letter says this about special characters (emphasis mine):
“Monthly Progress Reporting
For the remainder of the CIA, OIG will require eCW to submit monthly progress reports on the status of its implementation and completion of remediation and corrective action on certain critical issues relating to the safety of eCW’s Electronic Health Record
Software. Monthly progress reports must include, among other information, specific and measurable items to determine progress toward full implementation and completion of remediation and corrective action. Monthly progress reports will be due to OIG, ONC
and the SQOO on the first business day of each month. The specific issues that will be the subject of monthly progress reporting are:
1. Identification and repair of all special character, incorrect data type, and data truncation problems in all eCW products by January 31, 2021.”
We also all know from many “resolved” Patient Safety Alerts on the Portal that the “resolution” to an issue is “don’t do it/use it, because it doesn’t work rightly.” That wouldn’t fly if your mechanic told you that when your car won’t start, and it shouldn’t be the resolution for features which don’t work either.
January 31, 2021 is right around the corner. We shall see what happens. It’s almost 2021. A software product shouldn’t break if you use a quotation mark.

What’s new in 11.50?
Going through the release notes for exe and browser, and just thought it would be a good idea to share what’s new in the upcoming client upgrade. Not everything but at least the major ones.

eRx Network Issue, default to Print (System Outage)
Greetings eCW Users! A new ‘feature’ in eCW has been provided that needs more attention as eCW claims it is not happening to anyone else. When ePrescribing, sometimes you get “A network issue has occurred…” message and defaults to Print. This is because something inside or on the back-end of eCW triggered a “System Outage” and as per DEA requirements, defaults to paper.
The system outage is on eCWs end, but is not a real system outage, its just bad error coding and troubleshooting inside eCW; however it falsely triggers the eRx as sent, locks it, and defaults to Print, and can’t retransmit because of this. Interesting thing is we Do Not Print Scripts. We get the error while on a Televisit and eRx with the patient on the call, in Web Encounters, all in the Web or Plugin versions, very random. However, all default to a print, and we cancel but the trigger is already set and locked…. then have to create a new encounter to eRx since we can’t do it on the original. Obviously a patient safety issue, and as per eCW, this is a System Outage which should require a separate eCW case.
So there are few issues here, but the one I’d like to poll the community is: Have you ever received this error message?
If so, please let us know when, where, and how often. We can then work on escalation and workflow improvements.
