Manual Eligibility gets deleted by PM Tasks with no record of data being entered

Is anyone else having issues with the Manual Verification and notes being deleted out of eCW when a PM eligibility job runs?

When we have a carrier who is eligible for electronic eligibility, but comes back as ineligible, we always verify on the carrier website as there are many causes of an ineligible status of an eligible patient.

We then mark the patient as manually verified, and put in our notes.  It saves and everything looks great, until our job runs and it wipes out the eligible mark and any notes we made.  And there is NO log of any data being put into the system.

However, if I run batch eligibility (through the E), or try to run eligibility off the appointment, the system knows that the manual flag is checked, and won’t overwrite the data.  Only the PM scheduled task deletes data.  That tells me when someone was developing this feature they did have the presence of mind to take this into account, they just never went as far as the PM Tasks.

I do not think deletion of ANY data put into the system (even if ecw thinks it is trivial because it is not “clinical” in nature) is ok.  I think this is very dangerous. This is causing us to do duplicate work not only are we checking patients we already checked again, but we are notating in 3 different areas because the users do not trust the system.

I do have a ticket and I have been told:
1. It is the clearinghouses fault - The Clearinghouse said they do not have the ability to change any fields in the eCW Database
2. It is because I have the check box for “Replace appointment date with todays date” checked. - Not sure what one has to do with the other, but I was able to prove this was not the route cause.
3. It was intended to work this way - ???? Why?
4. It is an enhancement request - You are deleting data, how is this not a bug?!
5. The manual verification was only meant to be used for carriers that don’t get checked electronically - This makes me think eCW does not understand the true nature of eligibility.  Just because a carrier is set to electronically check, does not mean that 100% of the patients come back eligible.

The work around is to stop running PM Eligibility Tasks, or remove carriers from electronic submission in order to use the feature.

My biggest issue is why is it ok to delete data with no trace? 

If anyone has a fix to this or a workaround that does not involve checking each patient manually I am all ears!
