Content Distribution Download Documentation

Has anyone found the documentation on the content distribution download function?

Admin>Content Distribution
I’m referring to the MVX, CVX Codes, NDC Codes, Imm Series, Lab Community, NDC Lookup, LOINC, etc

I haven’t seen anything that advises me when we as an organizations should performing the download.

Where should I be looking to know when a download is available and will be providing new content?

How do I adjust remaining doses when medication expires?

We set up our medication inventory for eye injections as therapeutic injections and track our doses remaining by lot numbers. When a medication expires and we still have doses remaining in eCW, what’s the best way to adjust to reflect the meds we waste? I tried entering a line in Transactions (in the Lot Numbers screen) but it doesn’t decrease the Doses Remaining.

I was once given the string of code needed to pull the list of table names and all of their field names within each table from a SQL database. I cannot find it anymore. Any of you SQL wizards know the code sequence to create a list of all table names and field names within each table? Thanks.

Can I install eCW on a Mac (Macintosh)?

I asked this 4 years ago and the answer back then was “no” ...

But now, in 2020, can we install eCW on a Macintosh?  (one of our practitioners only uses Mac at home)

Anyone officially do this yet?

Does anyone know the details and how it will impact ordering any CT or MRI on a Medicare patient?
Apparently providers will have to pay for a licensed clinical decision support tool “consultation” in order for Nedicare to cover imaging.  And if I’m correct,  Medicare’s site does not list ECW has having a certified clinical decision support tool that qualifies.

Many CPT Codes changed to 1 CPT Code?

We have the need to do a CPT code change to a different code. However, it is a bundled set of cpt codes to a single cpt code. For commercial payors only. No government payors.

So, if a claim has 80053,84443, and 85025 (all three on the same claim) is there a way to 1. Identify those claims, and 2. Auto change those three codes (remove those three codes from the claim) to 1 CPT code 80050? Is this possible?

I have tried explosion codes = 1 to 1 or 1 to Many, but not many to 1

Would a Bundled CPT Rule work, even if the 80050 CPT is not one of the original codes on the claim?

Any thoughts?

Electronic Prior Authorization Through Surescript?

It appears that Surescript has offered this for a while. Is anybody using that, inside or outside eClinicalWorks? If not available, is eCW planning to use that? If not, why not? This might be an upgrade that would dramatically improve workflow and functionality. Any input?

As the surescript website is putting it correctly:

Patient Portal Proxy Setting Ideas?

Hello, we are just now starting to plan on rolling out eCW’s patient portal proxy settings. As we prepare to do so, we are trying to determine what services to offer portal patients and proxies of different levels. For example I’m interested in what portal options you all make available for these groups:

Proxy Full Access (So a typical parent who is full proxy for their 0-12 year old child.)

Proxy Limited Access.So when State specific settings kick in and a proxy moves to partial access from full. (So a child who turns 13 and our setting move any of their proxies to from “full” to “partial.”)

Teen who is now 13 and now get their own limited access as their parents move to partial proxy access.


So different settings on the portal we are considering activating or deactivating as people move into different types or proxy include:

Messaging to provider teams
View Lab Results
View Billing Statements
Requesting patient appointments
Requesting Refills of current medications
Bill Pay Online

We are just struggling to decide how to navigate these options. What happens to a parent who has full access who then gets limited proxy for their child. How does their access change? What does a teens portal look like at your organization? What can that kid do or see online? Now that their parents are now partial proxies, what can the parents do/see? We want to protect the privacy and rights of our patients without opening ourselves up to complications and complaints from patients. I’d love to hear or talk to anybody who has navigated these waters, things you’ve learned or maybe had to change, and what you do no. Is there anyway to exclude a Visit Type from the Last Appt notice on the Hub

I was wondering if it was possible to exclude certain visit types, like optical visits, or home visits from the last appointment section of the Hub. That way we could quickly look at this section and know exactly the last time the pt was seen by a provider, rather than a visit for glasses adjustment by the optician.

Is this possible?

Does anyone know what “My External Report” in the patient hub refers to?
What it is supposed to do?
It generates a link that goes no-where.

It seems to have appeared in the past few weeks.


Immtrac Immunization interface

For those of you who have an immunization interface, specifically immtrac, what is your workflow? Is there any staff involvement?

We’ve had the interface for a while now but apparently staff have been doing all data entry straight from eCW to the immtrac website. Essentially zero interface. I would think that this would be hands off HL7 interface for the most part. I’ve read previous posts where it is not bi-directional so there may be some data entry but not entirely.

Resource providers in v11e unable to group bill - anyone else

This is a duplicate issue post, but we are still having a ton of trouble and hoping someone will see this and have a fix or similar situation:

We are an FQHC and have many case managers and BH providers that do alot of group therapy and have been group billing for about 2 years. Twice, we’ve had the group billing function stop working for both Resource providers and Licensed providers.  Somehow the issue was fixed but we cannot find out what fixed it, even through lengthy discussions with eCW. 

Now it is happening again and our resource provider group billers are getting the same error message that they do not have permission to group bill and need the Admin security setting to modify templates.  This is NOT a setting we would give to anyone outside of our Admin team, but eCW insists this is the fix, until a fix is done in a future version (as usual)

Now for a third time, the users are getting that error message and I went through the same modify templates globally conversation with our SAM, a technician and a builder in eCW, and they insist the fix is to give the resource providers that security setting.  This has been ongoing for about a month.  We are told this is a BUG in the system and a hot fix has been requested in a future version of v11.40.xx, which is very non-specific.  The workaround would be to individually bill everyone in the groups, which are sometimes 20 or more attendees, but that feature was not working for us.  Those notes remained unlocked at this point. 

Anyone else having group billing woes or is your group billing working appropriately?  Maybe there is another workaround we are not aware of.  We are on v11e, current version, eCW hosted.

Two- Factor Authentication

Hello,

Is anyone using the two factor authentication feature in the browser version? We have not turned this on yet and were wondering what the thoughts are of the users? Especially for clinical staff, if they have to check their email every time they login or have their phones on them when they log in while in a patient room.
