I get asked all the time about giving ‘read only’ access to auditors or interns, etc, and in case I missed something over the years, is there a setting to allow for ‘Read Only’?

E jellybean change requests

Hello everyone,

We get flooded by CVS for requests to change to 90 day supply of prescription. 90% of this time it is inappropriate (original prescription is for 10 days of antibiotics, or 7 days or prednisone or a chemotherapeutic agent that is being titrated). Is there any way to select these change bulk request and clear them all.

Rx Watermark not showing on every script when user prints multiple medications

Some but not all of my users go to print multiple controlled medications and the first page printed has the watermark but the other pages to not. We checked printer preferences and everything looks good. I have the “show background image” checked on IE page setup as well. Is there something I am missing? The issue seems to be a local issue but I am not sure what other settings I can check. eCW is still trying to figure it out.

Anyone else had this issue?

Medical Student Workflow on Progress note

For those that use medical students, what is the appropriate documentation workflow on the progress note? What is documented by them and how is this signed off on? If you use the change assigned to feature - how do you use it in order to capture the medical students signature on the parts that they document on?

Auto Send Progress Notes option from the Document Band

What does this option do?  Auto Send Progress Notes located in the Document Band?  I thought it was an auto send to PCP or referring provider, but not positive now.  Is this something anyone is using, or does it need to be enabled?

Lots of Random Parsing Error Messages Today

We’ve been seeing a ton of random error messages that we haven’t seen before, mostly happening when you go into your D jelly bean or open up a progress note from the resource schedule or office visit screen.

ECW says to check our network, our IT dept says everything is pinging fine.

Anyone experiencing random errors today, or seen these before?

V11 EXE access issues

We had our upgrade to V11 in March and had fairly minor bumps. This week, two of our users starting having access problems in EXE. When they try to login, they get a series of errors:
“An occurred in init FTP from Database Err: -2147467259 Error during parsing, no element found at line 1”
“Error initializing Rx security info Object variable or With block variable not set Err: 91 Object variable With block variable not set”
“An error occurred on the server while getting login times data”
“An error occurred while Loading imported ERA Data”

If they click through all the error messages, eventually they can access EXE but they can’t search for patients… This is only affecting two users. Our IT department worked with eCW last night and reinstalled the application but it didn’t resolve the issues.

Any thoughts or ideas?


Express Scripts - P2P Spam

We have been receiving hundreds of “Safety and health Notification” messages VIA P2P Patient Records from Express Scripts. The patient name is listed as “Unknown, Patient” and when you click, it has an actual patient name with a spam type document from Express Scripts CEO.

I contacted eCW and was told to call Express Scripts and tell them to stop sending them. I essentially have to give them each direct address per provider and “unsubscribe” from their list. We only have 11 providers but I can’t imagine this is the recommended solution for everyone.

Does/has anyone else received these notifications via P2P from Express Scripts? Maybe there’s a way to block them on the front end.

Mantoux Immunization marked as PPD

I’m wondering if any of you are using the PPD in immunizations for your mantoux testing.  When we took eCW this feature was not available so we have a work around that has been used for 14 years.  We are looking at trying to simplify the workflow and believe the PPD would work, however we are having a hard time wrapping our heads around how other practices are doing this since it is SO different than our current workflow.

EClinicalTouch Documents issues

We can no longer sign documents in eClinicalTouch. Documents take 30-60 seconds to load if it doesn’t time out. We’ve opened tickets and got their BS line of “this is a known bug and will be fixed in a future version.” This after condescending our female office manager and telling her to “calm down and listen” so they could tell her that her workflow was wrong (she doesn’t touch documents).

Just wondering if anyone else has had issues or if we need to double back on tech support.

authenticated signature for DI orders when Nursing staff create orders

For CMS Ruling A-0450 Interpretive Guidelines §482.24(c)(1) regarding authentication of electronic signatures…
The hospital must have a method to establish the identity of the author of each entry. This would include verification of the author of faxed orders/entries or computer entries.
The hospital must have a method to require that each author takes a specific action to verify that the entry being authenticated is his/her entry or that he/she is responsible for the entry, and that the entry is accurate.


Is anyone else having issues with the nursing staff (RN, LPN, RMA or CMA) entering the lab and DI orders - as verbally given to them or even copied from a written order and the orders being electronically signed by the provider, even though the provider didn’t enter or review the order??  Are we misunderstanding the actual ruling or how are other clinics getting around the electronic signature automatically entering?

Kiosk and Credit Card Payments

We have been successfully using Ipad kiosk’s to check in patients for 3.5 years now. We are looking to add CC card readers such as the ID Tech IMag pro 2 that can be integrated with TSYS payments.

Before starting this project I wanted to ask my fellow users three questions :

1) Can you edit how much they owe for that visit?  We do collect 80 dollars for high deductible sick visits upfront, so there is might no be a balance yet when the patient checks in , however can the front desk change that ?

2) Does CC patient identification work in a pediatric office as well?

3) Does anybody have a chip reader with Ledabour enclosures and if so , have you had to change the enclosure?

How do you handle Patient Portal Support?

Especially for some of the bigger/multi-practice organizations - how do you handle Patient Portal support? 

If a patient has questions or trouble with the patient portal website or the Healow app, who do they call?  Does your IT support handle it?  The practice?  Do you have a dedicated group?

V11e Letters

Hello!

We are piloting V11e and ran into a change with running letters. In the exe, we have the Microsoft word automatic date inserted into our Letters. When letters are run from the system, it will pull in todays date no matter where you are running the letter from (hub or progress note). In the e version, this “insert date” feature does not work. eCW recommends replacing that with the “encounter date” code. If users run a letter from the progress note it will pull in the enc date, but if we run letters from the hub it does not.

Has anyone found a work around for this? Or are users being directed to type in the date after they run letters?

Dragon - purchase thru ECW or can you purchase on your own?

For those of you who use Dragon in your office, how did you implement it?  Do you purchase the package/monthly fees thru ECW or are you able to purchase the Dragon product on your own and implement it in the background without ECW help?

It seems like every time we want to add another product to our system, it’s another monthly fee for each provider to use it.

We are on version 11 and are ECW cloud hosted if that makes any difference.  I need info tonight for our physicians to decide which avenue to pursue.

Hide/Inactivate HIP Question that has been replaced with structured data

Is it possible to hide a question in the HPI section of the progress notes? 

We created an HPI question as Non-structured. 
Now that we need to report said question we found out the item could be structured data.
We created a new question it as a structured date field.

We are finding is that staff are still using the unstructured data field since they click on the HPI link.

I just want to hide it so when they open up the HPI section of the progress note they only see the structured question.

In our test environment I only found that we can delete the question.  I can’t delete the question since it has been answered on other patients.

TeleVisits - Anyone Using?

Hi All,

We are working through implementing TeleVisits, and I am curious if anyone is willing to share their lessons learned?

Specifically,

-How are patients being scheduled for teleVists? Are they requesting it themselves (via portal) or are your schedulers contacting the patient and mentioning that televisit services are offered?

-Do you have an MA or an office staff member “room” the patient (Are they calling the patient to get additional information, collect upfront fee, ect) before the patient is seen by the provider?

-What types of visits have you seen the most success with?

Lastly, is anyone in a urgent care setting using the eCW televisits successfully?  The way eCW has this configured, it appears to be much more suited to established patients (IE you have to have a portal account).

eClinicalTouch requiring a iPad PIN

We updated one of our iPads to the latest version of eClinicalTouch (3.5.2) and now it requires a PIN to be setup. Without a PIN, it does not let you log into the app. I reviewed the release notes, but obviously there was no documentation of this change. Has anyone else updated their eClinicalTouch?

“Revise” CCM Care Plan

Is there a way to carry forward previous care plan questions? It was just brought to our attention that staff were going in and amending old care plans (when not locked) when DX and other things were changing for the patient. They are now wanting the providers to unlock the note so they can go in and “amend” the care plan. There has to be a way to carry forward the previous questions so the entire thing doesn’t have to be filled out.

Maybe our workflow is incorrect, any advice would be appreciated. Thank you
