Referral - data copied from other referral

Hi Everyone,

When we create a new referrals, the structured data tab is pre-populated with data data from a referral of a different patient. We reported this in the past and it was resolved, but it has resurfaced. Has anyone experienced this before?

Office 64 Bit

We just upgraded to SP2 and were testing office to see if there would be any issues using office 64 bit with ECW.  Since we upgraded, it appears that ECW has its own built in letter program now, so they no longer seem to rely on MS Word for that.  So at this point, we are guessing there is no need to worry about this.  Does anyone know if there are any other integrations that ECW has with Office that Office 64bit would break? 

Point of clarification:  By integration, i mean a requirement that MS Office software be installed because it is referenced in ECW for a function a user would need.

Note:  We are going to Office 365 using the click to run function, so any issues related to ECW with that as well, assuming there are other integrations, it would be nice to know those as well.

200 fax maximum view in Fax inbox

Hi, the fax inbox we work with caps at 200 faxes, and any older faxes will not populate until newer ones have been moved out of the inbox.  Is there a setting where we can expand that inbox to show more than 200 faxes at a time so we can see how far back they go?  I know you can toggle the setting that changes if new faxes come in to the top or bottom, but that still doesn’t help us see all the volume.

Print scanned forms with patients names

Is there a way to print forms from within ECW so that the form already has the patients name already on it, such as in ecliniforms? 

For example,  patient comes in for a physical.  We print their physical form to complete while in waiting room.  The printed form would already have the patients name and dob on each page.

Copying Visit Type Durations from one provider/resource to another

Could have sworn we use to copy Visit Type Durations from one provider or resource to another, but for whatever reason, I can’t seem to remember how.  Any suggestions?  We have a zillion visit types between active and inactive and everyone of them is being filled out in every provider and resource, including new onboarding providers and resources.  exe is fairly easy to edit/remove/save….10e is a nightmare.

I am about the demo the Kiosk.  We need it to solve 4 problems

FRONT DESK
1) verify insurance
2) collect any balance
3) verify pharmacy

Mid office
3) Let us know what refill they need now
4) Alert them to their missing preventive care (like they need flu shot or colonoscopy)
5) complete previsit chief complaint specific review of systems questionnaire that goes into the progress note
6) Wish them a custom message like Happy Holidays or Skin Cancer Screenings next week. 

How much of this can the Kiosk do? and do well.  I compare it to phresia pad but phresia doesn’t integrate into ECW.

CCDA Bulk file download

Hello-

We are in the process of switching EHR from ECW to NextGen due to joining a larger entity. For the past 3 weeks I have been trying to download a bulk CCDA file of our patients to transfer to NextGen.

Each time I run the request it keeps getting ‘stuck’ at”  11% complete” for days on end. I have opened tickets but besides them telling me to ‘cancel it and request again’, I have not had any success with this.

Has anyone actually had this CCDA bulk file transfer work?

Any suggestions?

Looking for setting

Looking for setting that will allow nurses to choose the facility they are working in on a particular day to access that facility’s immunization lot inventory.  Mine is set up with a dropdown to choose from, but having trouble finding the setting to give nurses that same access.  They can only see the facility defaulted in their staff profile and cannot change it.

Patient Portal Messages ... can they be addressed to our Billing Person

Can portal messages only be addressed to providers when logged in to the patient portal?  Is there anyway to add “Billing Questions” to the drop down list so that billing questions can be messaged directly instead of having to choose the provider who then must then route it to our Billing person?

Vaccine Administration Codes

Is anyone using the vaccine administration code feature in eCW?

We have providers that use 90471-90472 (immunization admin) and then other providers than use 90460-90461 (counseling). It looks like in the Vaccine Administration Codes setup, you can only use one set of codes. There doesn’t seem to be a way to tell it to use these codes for these physicians but use these other codes for the other physicians.

I tried using the CPT explosion code rules to change the codes based on provider but the explosion codes don’t seem to apply when used with the Vaccine Administration Codes feature.

Any ideas on how I could set this up? Or am I out of luck? Right now, we manually add all admin codes to the progress note when immunizations are given.

eCW Messenger SMS late deliveries to patients

For months I’ve been pushing eCW to address the issue where same-day appointment reminders are being delivered AFTER the patient’s appointment.

Responses thus far include

1) The same-day appointments will be given higher priority on the eCW SMS servers
2) The eCW SMS servers are overloaded and cannot process the requests fast enough
3) The eCW SMS servers only keep 48 hours of logs and thus cannot be diagnosed for problems

I can understand the first two - these can be resolved by adding greater server capacity.

But the third response is pure lazy.

There is no reason to delete log files after 48 hours.

Also, purging the log files could result in a lawsuit due to a failure to maintain patient safety standards.

I can imaging a situation where a patient misses their reminder for a Friday appointment, before a long weekend. Then run out of medication on Sunday. Cannot reach the clinic and have a crisis. We’re not aware of the missed communication until Tuesday morning. We report this to eCW and BOOM ... they cannot locate their logs to confirm what happened because they delete such things after 48-hours.

This situation could easily be resolved by adding drive space. Or, if it’s a database performance issue, archive to other systems after 48 hours - but don’t delete these logs. There is huge significance to them.

eCW Version 11 - 2015 version PHQ2 Form

It seems like the new PHQ2 (2015 version) now has a score associated with it.  Still two questions, each question now has a point value of 1. The new 2015 PHQ2 form now only initiates the PHQ9 form automatically if the score is 2 or greater??  The old version initiated the PHQ9 form if EITHER question on the PHQ2 form was answered as yes.  Now both questions have to be yes in order for the 9 form to automatically open.  The UDS measure didn’t change - it still states if either question on the PHQ2 form is yes, a follow up must be done (which the PHQ9 form satisfies that).  How is everyone else on version 11 of eCW dealing with this??  Our depression measure has dropped, partly because the PHQ9 form now doesn’t open if only 1 question on the PHQ 2 form is positive.

Faxing progress notes upon locking?

On my multitude of notes from the national users conference, I wrote down “the ability to automatically fax progress notes to referring provider upon locking in V11”.  Was I wishful thinking or did I hear this at one of the presentations?  We upgraded to V11 this weekend and try as I might, I cannot find it.  If anyone sees (or knows about) this option, please point me in the right direction.  Thank you!

V11 E jellybean

Hi all
we are in the process of updating to version 11 over this weekend and are curious what other customers using the exe have experienced in changes to the E jellybean. I have heard that the UI has changed even for exe users but there is nothing detailed in the release notes for this. The current v11 release notes online are dated May 2018 but I thought there was a more up to date document posted in October.
Appreciate any insight folks can share on these two questions.

outsource to Eclinicalworks billing (RCM)??

Anyone using ECW for their medical billing?  We are a small practice so it should be “easy”.  Their rate is very good at under 3% but that’s no guarantee on quality and ability to get claims adjudicated and processed and followed up upon if denied in a timely fashion.  If you use or used them, please rate/review their performance compare to other billing companies.

I’m curious to know when folks are billing for CCM.  End of the month? Every two weeks?  Has anyone had an issue with billing CCM at the beginning of the month and TCM at the end of the month?

any experiences with upgrading Server OS on ECW servers?

We are still on Windows Server 2008 R2 Datacenter 64-bit and using ECW v10.
It seems we need to get on Server 2012 or 2016 to upgrade to v11.

Is there anything we should watch out for in this situation?
Does the ECW installation survive an OS upgrade like this or should we be looking at other options?

Immunizations not populating to progress note post v11 update

Hi all

We updated to v11 over the weekend and despite massive testing and prep we still have an eCW curve ball today.

Patient immunization data is not populating to the progress note.

We have logged a ticket with eCW but I am curious if others experienced this is what the fix was

Patient photo in demographics problem

ECW has shut down the feature of patient demographic photos on my v11 eclinicalworks. It’s always helpful to put a name to a face but this is been down for nearly 3 months now.  Is anyone else affected by this bug?
