Spelling autocorrect?

Greetings, I’m looking for a function that will do spelling autocorrections in eCW Windows as I type them (just like the function in my gmail, iPhone, and word documents).

Does anyone know of any options?  ie third party software since I don’t think eCW has this as an option?

Help - How is it possible to add an appt to a schedule without a patient?

Someone at our organization has added a bunch of dummy appointments to providers schedules that can be used for same-day emergency appointments. This, however, clutters up the schedule, and makes it difficult to read actual appointments. I realized that I can hide all non-billable appointments from the schedule, and I think this can make these disappear if I am just able to change this from the visit status “PEN (Pending)” which they currently are, to a non-billable status.

However, here’s the problem. I have no clue (and apparently she doesn’t know) how she added these appointments. I’ve attached some screenshots. They aren’t blocks. They are actual appointments, but without any patient. It also looks like she was able to make them repeating, because I think they extend out several months. However, when I try to change anything about these appointments, it gives me an error saying “The following information must be entered before proceeding: Please select a patient.”

So, how did she make repeating appointments with no patient selected? And how can I change them all to new status code? I imagine that answer lies in figuring out the first question. Thanks in advance! You guys have helped me out before, and I’m hoping you can come through on this question, because I don’t have too much experience in the scheduling/visit status/blocks area.

I’ve recently compiled all the efficiency tips that I’ve found with eCW over the last two years working as a dentist in a community health center. I presented it to the rest of our providers. I thought I’d post it here to help others.

Attached is a Zip with a Powerpoint and a reference handout. I’ve got a longer version that includes eCW, Open Dental, and Dexis that I will post separately for those using those programs in conjunction with eCW.

Kiosk Registration Pilot and Roadblocks

We are looking to implement Kiosk registration in some of our family practice clinics. I am in the process of setting up and testing for our first pilot clinic. There are a few roadblocks that have come up for us though. Hoping someone has some advice to get around them or can share some ideas!

1. We have Medicare Secondary Payer forms that need to be filled out for all patients who have Medicare insurance. So far there is no way to link a consent form/questionnaire to show up for these patients only. We also have forms that uninsured patients need to fill out. There is no “easy” way to get these forms filled out.

2. We will not be using a card reader to collect co-pays which means there will likely be many missed collections.

3. If the insurance cards are outdated, patients can take an updated photo, but it does not transfer the ID/Group number into eCW like the scanner would at the front test.

4. There is no way to collect a $100 payment for uninsured patients at time of registration

5. With these roadblocks, we have considered using Kiosk registration at our Urgent Care Locations where patients come in without an appointment. Is there a way to allow patients to create an appointment for that day at the time of registration to make this work in an urgent care setting?

Downtime Process

Does anyone have a good downtime process when eCW or PSM has an unexpected downtime?
I am used to having some type of redundancy in terms of patient information when the system is down.

1. Incremental backups of patient’s CCD to another computer’s hard drive
2. mirrored backups

Anyone out there have a process they are willing to share?

CDSS Alerts - A1C Testing & Lab Interface

We are looking at our CDSS alerts for A1c Testing and noticed it was outstanding when in fact the lab result has been received and is reviewed in the patient’s chart.  It didn’t matter which lab company was sending the result. 

The answer from eCW support is the manually enter the lab result from the CDSS screen by clicking the “H” (Historical data) button.  Once this process is done the first time in the chart, all future A1c results would then start to appear for this CDSS Alert.  This just seems crazy as we have a lab interface that should somehow be able to tie into this CDSS alert in order to satisfy it.  If the General Practice Alerts can work this way, why don’t the CDSS Alerts work this way?

Would like to hear how other practices are satisfying the CDSS Measure.

Mine look so stupid that it is almost pityful. I have no idea what to put in there. Example: hypothyroidism: The most recent TSH and symptoms etc is already in the PN, does that need to duplicated?

Any help appreciated.


PQRS Registries

We have used DARTNet in the past for PQRS reporting. We recently saw a demo of the eCW product, as well. Does anyone have experience with other PQRS registries? We want to explore other options before we decide.

Hello everyone, we are currently in the process of implementing an EMPI (master patient index) project and QuadraMed has been selected as the vendor. Is there anyone who uses QuadraMed with eCW? We are also interested to see if anyone who has an eHX in addition to eCW is using QuadraMed.

Any information/experiences would be appreciated!

Any way to hide a subcategory or item in HPI?

I see that you can hide an entire HPI category, but is there any way to hide a sub-category, or an item/symptom? We have some subcategories and items that are basically surveys about a patient’s dental history, but may end up needing to change these. I don’t know that you can or should delete something that has been used before in a chart, so I want to see if we can hide them from showing up under the HPI tree.

For example: In the image below, is there any way to hide the “Dental Questions” symptom that is under the category “Dental” or to hide the “CRA CDP” subcategory?

Checkbox on bottom of Fax-to-Quit form clears out patient info

We’ve had an issue (I think it is recent) with the Fax-to-Quit smart form. When you click on the checkbox at the bottom of the smart form that states “I certify that the patient has consented to be contacted and that I have faxed this form…” it deletes the patient name, today’s date, and patient DOB at the top of the form.

Any ideas? Or can anyone confirm this is also happening on their end? I can’t find any work around other than faxing without checking that box.

Physician Leaves

I am trying to come up with a check-off sheet for the steps that should be taken when a provider leaves the organization.

I know when we deactivate his account most of the options will be covered however we still have claims that have been be sent out so I can not make him inactive at this time.

Here is what I got…

Change Password.
Remove HEALOW profile
Remove pic off website
Stop messenger
Remove access to emobile
Deactivate his control substance token
End his working hours on Resource schedule.
Remove Portal options for appointment and messages


How do I deactivate for P2P or I have to wait until I get clearance from billing?
I know I am missing stuff…Just can think of all the bits and pieces until we make his profile inactive.

can you run a report on how many pts are not up to date on vaccines?

Is there a way to generate a report on how many patients have vaccines that are not up to date?  Since the imm module has forecasting now, has the reporting for it been updated?


We would love to generate a report of a particular Medicaid payer and how UTD those kids are.  The Indiana registry started just a few years ago and doesn’t have any back data, so a 12 yr old kid who has had all vaccines is “not current” on the registry.

Signing faxes in 2015

does anyone else here think it’s annoying that we are stuck signing faxes in the year 2015?  I’ve thought long about this as I think the thing that I spend most time doing (second to seeing patients and finishing their notes) is go through the stuff in my D-bubble.

A percentage I can just click reviewed (eg, specialist reports, FYI stuff from nursing homes, hospital face sheets and discharge summaries).  PT forms need to be opened and signed. Nursing home orders, or more accurately, the written version of order I already verbally gave them need signatures.  I work from home and at the office and am rarely able to easily get to a machine that I can sign on (we have moved away from tablets due to cost).

Anyway, I am also mad that ECW utilizes MODI (yes, that MODI from 2003) as one of the 2 fax editors in the EMR.  It has little built in, in terms of features.  Ink Edit is hardly better and seems to run even slower.  So, using a programming language called Autohotkeys (which is free, by the way), I developed a macro that I could fire off to basically stamp documents needing signatures.

It didn’t take that long to make, and works really well for me and my partners and I totally don’t know if anyone else would find such a hack useful.  But, I am just so frustrated that this EMR uses such an antiquated work process, I felt it was time to think outside the box and share my findings.  Maybe they’ll do something about it some day, but suggestion box suggestions have not yet come to fruition for me (I’m a user since 2009).

Anyway, here’s a quick video.  I think we shouldn’t have to look so hard for tricks on making a product work, IMHO.

Failed Fax Jelly Bean

Hi,
In the distant past when an outgoing fax failed, the D jelly bean would turn red letting that person know they have a failed fax. It stopped when we upgraded our fax server which we host. eCW had no resolution.
Has anyone else had this problem?
