Forced upgrade :(

We walked into a dysfunctional EMR on a Monday when it forced an upgrade on us to a new version of 11 point something. Office was down half a day trying to figure out what the problem was and then later on, we find out slowly, the scanners don’t work. Finally, we find out from ECW that the fujitsu scanners which were working fine up until the upgrade, will not work any longer. (What type of upgrade loses backward compatibility?). Finally, after having a pile of documents accumulated to be scanned, we find out there are only certain scanners that can only be purchased from certain sources that will work. The Epson scanner given in the list is a monochrome printer scanner that is no longer available but the preferred website provided by ECW mentions a color scanner which is available for purchase for a 78 dollar shipping charge. I am not even sure if it will work because the list provided by ECW mentions a monochrome scanner to be purchased from that specific website (which offers a color sanner/printer instead). Such a frustrating day with ECW today in the office. Now we have to wait till tomorrow to find out from ECW support if the color printer Epson scanner will actually work and then order it for whatever they charge for it. Moving to cloud was a mistake I believe.  Shouldn’t ECW provide advance warning of an upcoming upgrade that would require preparation and purchase of equipment prior to the upgrade so we don’t lose functionality of the EMR?


11e upgrades

We are still currently using the .exe, but have long been interested in moving to 11e.  One big reason is that it will not be as work-intensive to do a “client-side” upgrade, as we have many practices and many computers.

Anyone here with a large organization using 11e?

We’ve found that it seems like the use of the plug-in will wipe out the advantage of using a browser-based application, as we still would need to push the updated plug-in to all of our computers.  Even worse, it appears that the “auto-upgrade” for the plug-in requires Admin access on the local machine, whereas the “auto-upgrade” for the .exe (which we’ve always used as a backup plan in case our push doesn’t work on some computers) does not…

Does anyone know how to generate a list of pts appointment history? We can generate a report but just wondering if there was a way inside ecw to generate an official report that can be taken to court?

healow Televisits vs. doxy.me

Hello all,

We were considering recently switching to healow for our televisits. We are currently using the free version of doxy.me. I know this issue was discussed a lot back in Spring of this year, and there were a lot of reported issues with healow Televisits. Since we were all adjusting to the virtual world due to COVID, those issues are understandable.

1) Now, 7 months later, I am wondering if healow Televisits is a more viable option than it was earlier this year, given months of time for improvements. Anyone have experience with this?

2) As a follow up, assuming healow Televisits’ technical functionality is on par with other services like doxy.me, are there any clear benefits/features that healow has that others don’t (such as ways to boost efficiency, simplify workflow, etc.)?

Releasing full notes to portal per new Cures Act guidelines

With the new guidelines to release full notes, how is everyone planning to handle that if you do not release full notes now? (disclosure: I have not seen the documentation yet for what needs to be released, just emails from providers wondering and a little worried how we will handle sensitive information). 

Assuming we will be releasing full notes (vs. visit summaries) to the portal.  Is there a way to mark a note ‘private’ or ‘not releasable’?  We are especially interested in a private feature for our behavioral health and substance abuse notes.

Any other thoughts on this new guideline on releasing full notes?

slow performance issues on V11 SAAS

anyone else noticing VERY slow and disruptive performance issues on V11 SAAS for past few weeks? Movin from screen to screen and lag when opening a screen.  It’s limited to ECW product only.  No problem with all my other webservices.  And it’s on all computers.

S Jelly Bean # also now including nurse and immunization visits?

Has anyone seen this, where the S Jelly Bean # for the providers is also including nurse visits and immunization visits if they are the set as the provider on the appointment screen, but the resource provider set to a nurse. It seems like these are now counting towards the provider’s S Jelly B #. I don’t believe it was like this before.

For example, the provider has say 10 on his S jelly bean, but he only has 8 pts on his schedule, with the remaining two being nurse visits. The provider is set as The Provider on the appointment window, but the resource is set to a nurse. Has it always been like this?

Does anyone know how to make a sheet of avery labels using ecw, we tried the letter module but it doesnt advance to next patient until the next sheet, so each full sheet is of the same patient.
The label module for the dymo has far less tags and therefore we can not add all the info we need

ideas?

GETTING CPT CODE TO APPEAR ON RADIOLOGY ORDER

Is there a way to get the CPT code associated with a radiology order to appear on the order itself in a printed or faxed form?

The reason I ask is that we often have the scenario of generating a DI order, such as “CT Urogram”, which is associated with a CPT code such as “CT abd with/without contrast”, but the code does not appear on the order.  This creates call backs from radiology to the front desk of our office as radiology tech is confused about what is specifically being ordered. This happens over and over and…

Any suggestions?

Chrome ecw faxes twice

Hi all,

In the chrome/plug-in version of ECW, when I try to fax the note and select a provider in the CC list, it always lists that provider twice, and will fax two notes to the provider. I usually just delete one of the duplicates in the CC line, but am wondering if this is a bug or if there is some other way to fix this. When selecting a lab company in the CC line, it does not duplicate it.

Notes field in Tracking Board

Do you know what the Notes field at the far right of Tracking Board is for? (image attached) The myeclinicalworks video doesn’t include it, and it’s not an option a user can un-select.  It doesn’t seem to be associated with notes in the patient dashboard, assessment, treatment, billing, or appointment.  It also doesn’t have to do with the status of the Progress Note (done, locked).

Going through the release notes for exe and browser, and just thought it would be a good idea to share what’s new in the upcoming client upgrade. Not everything but at least the major ones.

This is what I have so far:

What’s new: EXE

• Some new security attributes, many of them I already see, like deleting a pt, setting favorites for race/ethnicity/lang, etc

• Additional print/fax/lock print settings for consult notes.

• Absolute Session timeout, can now force a user to log off if they’ve been logged in for X amount of hours. Cannot disable.

• Disable user access to EXE, enabled by item key, disabled by default, pg 34

• Updates to Patient Merge window, pg 38

• New items added to safety and compliance report in report console, pg 47

• Special Character & character limit alert, only works in certain sections, pg 54

• Draggable pop-up windows, popups throughout ecw have been enhanced to be draggable or moved around. Enabled by itemkey, 4318_VAA, pg 57

• Birth Sex and Gender identity added to configure demographics mandatory fields section, you can now also hover over SOGI button on pt info window to display tool tip w/ sex orientation, gender id, and birth sex, pg 60

• Add an expiration date to document folders, this prevents the document from showing up on the DRLTA tab on the pts RCP, enabled by itemkey 1950_AOOAOO, pg 62

Daily urgent message for “EPCS Incident Log notification”- can I deactivate this?

Each provider in the practice gets a daily urgent red message 1-2 times per day for:

EPCS Incident Log notification for 11/22/20

———-

I’m trying to figure out how to reduce our daily unncessary clicks to review and delete them.

Is there a setting somewhere to turn this off and not get this daily urgent message that turns our message jellybean read multiple times per day?

Growth Chart Problems w/ Latest Update

After upgrade 2-3 weeks ago (we are cloud based, so I am assuming it was the latest 11.5 - my “About” tab is just showing version 11) we noticed problems with plotting BMI. From what we could tell it was using kg and cm as lbs and inches and calculating the BMI using the US calculation instead of the metric calculation as it should be.

This was “fixed” about a week later, but now the system is not pulling any historical weight or height data. Only visits since the fix are being plotted. Head circumference and BMI are strangely fine.

Anyone else having this issue? Support is supposed to be working on this, but taking too long.

Clearing eRx jellybean alerts?

Since upgrading recently our jellybean alert has not been clearing. It used to only alert when new request came in. Now it is keeping “Change Requests” and “Cancel Responses”- see pictures below. This drives my OCD crazy. Any idea how to clear those other tabs or mark them as read?

-the provider of the encounter, not the Rendering Provider or PCP

I’m curious what the best setup is for Referring provider.  Currently ours is a bit of a mess…i.e we use Dr office name for Last Name and in first name put the whole dr’s name on some, some have specialty as the last name, etc.
