Using Questionnaire in the portal for Patient Consent Forms

Hi,
We are trying to add a consent form to the portal, since 99% of patients are doing visits by phone and A/V (like everywhere else) and we were told to create a consent form as a Questionnaire.  This would be for established patients whose consent form for treatment have expired.  I even worked with a technician to make sure I was thinking of everything that needs to be done to ensure the patient will see it on the portal. 
1.  Built a category in HPI/Social/Patient Consent Form
2.  Questionnaire Designer/ created the questionnaire with the consent form and Yes/No option for accepting the consent
3.  Patient Portal Settings/Forms (Questionnaire) settings - selected the questionnaire

Questionnaire appears on the portal, it is appearing in Questionnaires tab under Medical History, but can be chosen.  I opened it in the portal but did not click yes or no, and while we are not going to drive it by visit type, it did drop the patient consent form into my test patient’s note in the HPI section.  eCW told us building it this way, will file the ‘signed’ document to the Chart Document folder.  After discussing the the technician a third time, I was told that the provider or nurse would have to click a dropdown in the note and choose to pull into the note or send to the patient documents.  Either way, I don’t think we would want those roles to have to work the consent form… clinical questionnaires, obviously they would.

Can someone give me a little insight into how you might be alternatively getting patients to sign new consent forms that are due, when they are not coming into the clinic and doing visits via phone or video?

Does anyone know the details and how it will impact ordering any CT or MRI on a Medicare patient?
Apparently providers will have to pay for a licensed clinical decision support tool “consultation” in order for Nedicare to cover imaging.  And if I’m correct,  Medicare’s site does not list ECW has having a certified clinical decision support tool that qualifies.

ENTER key does not work in Treatment section

I just did a clean reinstall of Windows 10 and then had eCW tech reinstall eCW version 11 on my laptop.  One new issue I have noticed is that the ENTER key does not seem to work in the Treatment section, but works in all the other sections.  In other words, when I hit the ENTER key, the cursor does not go down to a new line, and so the key appears to be disabled. In addition, within the Treatment section, if I click on Browse, which results in a separate pop-up window, then the ENTER key works as normal.  As far as I can tell, this problem does not occur in any of the other sections, including HPI, Examination, Assessment.  It also does not occur in any other program on my laptop as far as I know. Is this a known issue?  Is there a fix?

Conditionally Recommended Immunizations

On the ‘Immunization Schedule’ tab, Immunizations that are recommended show as Due. Conditionally Recommended do not and per eCW they can’t be set to do so. I set an alert for some of these but that requires staff to check another screen (CDSS).

EX) MenB aren’t getting done because staff aren’t seeing the “due now” on the Imm schedule screen.

Anyone have a better solution? Thank you

Social History not carrying forward

Has anyone struggled with social histories not carrying forward.  We have weekly OB visits and having numerous issues with most of the history sections carrying previously entered data forward.  We have been instructed by eCW to click on each history sections and that would populate the sections. However, that doesn’t work most of the time.  Another tech said we should push the data over from the right chart panel.  That also doesn’t work every time.  Yet, another tech said we should use the Quick Merge option.  Lastly, we were told this is a known issue and will be fixed in the next version.  It’s so frustrating!  The staff is sometimes having to ask numerous questions every visit.  Any help is appreciated.

“Ink” feature in patient docs

We’re on version 11.40 and when we click Ink in patient docs multiple error messages pop up. eCW installed a newer version of “ink” onto my local computer and it worked. Their solution is for us to do this for all of our local computers, roughly 150. We don’t have the infrastructure in place for mass installs like roaming profiles so this would have to be done per computer.

I think we’re getting the run around or maybe our current version has a bug? Does anyone have a newer version where this feature is working? Thank you

Ways to disable unecessary pop ups

Wondering if there are ways to disable some of the popups.
I see the place to disable popups for when you write prescriptions.
Just trying to cut down on the number of unecessary clicks.
Are there any popups that we can disable??

browser vs exe cons and pros

what is better?

I was wondering if any of you could explain the differences between exe and browser version? I am familiar that there is a learning curve, some functionalities does not work in exe that works in browser and vice versa. There are multiple bugs and so fourth.
are there any other information i am missing.

in your opinion what are the pros and cons in going to browser version? thank you!!


Contactless Registration

I know eCW has eluded to releasing a mobile/ Contactless registration process for patients.  Is anyone looking at alternative 3rd party options for this? If so, what products? I know eCW said they are releasing this “soon”, but their “soon” can sometimes be years.

eCW Specialty Forms Copy Project??

Has anyone else been contacted by eCW recently requesting server access so that they can take a copy of their servers “Specialty forms” folder?  We have been contacted twice now and have requested formal documentation and change control info from eCW but have not yet received it. Curious if anyone else out there has any detail on this?

Office 365 Migration

We are planning for an upcoming migration to Office 365.  This includes both email and office products.  If you have gone through this at your practice I’d love to have any feedback on lessons learned to insure a successful migration and minimize impact on eCW performance.

TeleVisits in 11e

We are currently working in Version 11 EXE and have heard that if we use the browser version we no longer need to use the Healow Agent. eCW has said that the TeleVisits are more reliable and providers have a better experience in that version, do any practices using 11e have input on this?

Did any other practices also have to purchase a SSL certificate to be able to launch the “TV” button?

PPD Immunization Documentation Not Saving for Some Users

This is only occurring for some users.  I do not have the issue so I’m assuming it is a Security Setting of some kind but no description seems to make sense.  Our practice uses Role Based Security.

The only error users receive is that the NDC is missing.  I cannot link an NDC to a PPD because it is not available.

Issue only started happening after we upgraded to V11.40.23.19

HISP Patient Safety Notice Feb 2018 P2P

Hi all

Please pay attention to the safety notice noted if you are using p2p with outside HISPS

This morning we experienced this patient safety issue.

We receive a lot of hospital discharge notices from a neighboring hospital on EPIC and I am very concerned after witnessing how this actually transpires.

The notice does not indicate that there is no way to move the document for patient A that is incorrectly associated with patient B once the issue occurs.

We now have patient A’s hospital discharge linked to patient B and cannot correct it.

This by itself is bad but as we cannot correct the issue but it will also slow down the flow of the clinical information to our providers.

AUC Decision Support Number requirement CMS 2021

Has any of you heard about this new program -PAMA for CMS? Below is the information about the program which will be required in 2021 but i dont see ecw has an option for this but i was wondering if any of you are currently working/adding the AUC decision support number into the DI orders and if so which workflow are you using? thank you!

The Protecting Access to Medicare Act (PAMA) of 2014, Section 218(b), established a new program to increase the rate of appropriate advanced diagnostic imaging services provided to Medicare beneficiaries. Examples of such advanced imaging services include:

computed tomography (CT)
positron emission tomography (PET)
nuclear medicine, and
magnetic resonance imaging (MRI)


Under this program, at the time a practitioner orders an advanced diagnostic imaging service for a Medicare beneficiary, he/she, or clinical staff acting under his/her direction, will be required to consult a qualified Clinical Decision Support Mechanism (CDSM). CDSMs are electronic portals through which appropriate use criteria (AUC) is accessed. The CDSM provides a determination of whether the order adheres to AUC, or if the AUC consulted was not applicable (e.g., no AUC is available to address the patient’s clinical condition). A consultation must take place at the time of the order for imaging services that will be furnished in one of the below settings and paid for under one of the below payment systems.  Ultimately, practitioners whose ordering patterns are considered outliers will be subject to prior authorization.  Information on outlier methodology and prior authorization is not yet available.

This program impacts all physicians and practitioners (as defined in 1861(r) or described in 1842(b)(18)(C)), that order advanced diagnostic imaging services and physicians, practitioners and facilities that furnish advanced diagnostic imaging services in a physician’s office, hospital outpatient department (including the emergency department), an ambulatory surgical center or an independent diagnostic testing facility (IDTF) and whose claims are paid under the physician fee schedule, hospital outpatient prospective payment system or ambulatory surgical center payment system.

Program Timeline

Currently, the program is set to be fully implemented on January 1, 2021 which means AUC consultations with qualified CDSMs are required to occur along with reporting of consultation information on the furnishing professional and furnishing facility claim for the advanced diagnostic imaging service.  Claims that fail to append this information will not be paid.  Prior to this date the program will operate in an Education and Operations Testing Period starting January 1, 2020 during which claims will not be denied for failing to include proper AUC consultation information.  Beginning July 1, 2018 the program is operating under a voluntary participation period during which time consultations with AUC may occur and may be reported on furnishing professional and facility claims using HCPCS modifier QQ.
