Adding templates to provider favorites

Is there a way for me to add templates to provider favorites as the system admin?  We’ve had to make some major changes to our COVID templates and because they’ve been used, I can’t make changes, so building two more to take their place. I’m hoping to not have to ask 24 providers to remove from favorites and add the news ones….was hoping to make the change on my end.

Portal down again

Anyone else having problems with the portal since Friday.  Patients are complaining the site keeps going down in last 3 days and don’t have ability to access their records during this time of crisis.  I don’t know if ECW can handle the volume perhaps during this COVID-19 situation.

Automatically create TE when a patient No-Shows

I’m new to the site and relatively new to eCW in general, but I’ve tried searching for this but was unsuccessful.

Is there a way to have eCW automatically create a TE for a patient that is marked as a no-show that is then sent to our scheduler so they can contact the patient and reschedule them?

Invalid Text Found - replace window

We recently started encountering an error window that warns of an invalid character in a chart and allows replacement.

The error window is named “Invalid Data!”

The text states: “Invalid text found. Please use substitute option below to avoid failures”

There is XML followed by a text box that provides the option to replace the invalid character.

You are forced to either complete the replace or kill the app with Task Manager.  Has anyone else encountered this? Is there documentation out there on why this is occurring and which characters will trigger it?

Spell Check in 11e?

Does anyone have experience with using, adding to, or modifying the spell check dictionary in 11e?
We’re transitioning from the .exe version to 11e and users are struggling with the available dictionary and its inability to recognize or correct medical terminology.  It’s terrible… it’s trying to change NSAIDs to nasties

It doesn’t appear that there’s a way to add words to the local library like in the .exe version.  What are other organizations doing for spell check in 11e? Is there something we’re missing?

Update to Telehealth Pricing

Good afternoon everyone. First, a heartfelt thank you for the work everyone is doing during these difficult times. You are on the front lines and are true #HealthCareHeros. Please know everyone at eCW is here to support you, your practice, and your patients.

Today I want to share some pricing changes for TeleVisits. As you already may know, there are 2 pricing options available for telehealth: $50 for 250 min or $2 per visit.

Due to COVID-19, for March through June 2020, the healow telehealth solutions package will be capped at $100 x the number of providers per month. eClinicalWorks will bill either the healow telehealth solution pricing you select or the number of providers x $100 per month, whichever is less.

To help clarify, here are some scenarios:
-If you are on the $50 for 250 minutes plan and use 200 minutes, you will pay $50.
-If you are on the $50 for 250 minutes plan and use 300 minutes, you will pay $100.
-If you are a 1 doc practice on the $50 for 250 minutes plan and use 800 minutes, you will pay $100 due to the cap
-If you are on the $2 per visit model and see 50 patients in the month, you will be billed $100
-If you are on the $2 per visit model and see 100 patients in the month, you will be billed $100 due to the cap

Basically, the most you will pay for telehealth between now and the end of June is the number of providers in your practice x $100 per month.

Televisits quality?

Wondering if anyone is using televisits through eclinicalworks. Our biggest problem has been connectivity issues and errors that patients get on their side (no appointment showing up for them etc). 100% of the time we cannot get through a televisit without loosing connection 2-3 times.
We have the fastest business comcast speed available in our area.
Many times we start the televisit and then have to finish the televisit on spruce (which has perfect connection). Plus we are paying $2 per visit with ecw televisits and if we use our other apps we pay nothing extra. We would rather use ecw as patients don’t have to download an extra app. We are about to change to att fiber and we will see how it goes.

So I am wondering if it is even possible to have a good connection with eclinicalworks? What is everyone’s experience?

Looked into Telehealth with ECW. $2000 for the module and $1000 for IT to install it.

My PA found Doxy.me which for the basic function is free which for me during the Coronavirus crisis is all that I am going to be using Telehealth.

Looks easy to use and we are implementing this week.

What are others doing to document the specifics for the Telehealth and telephonic visits? 
Currently ,  we are just free texting in note sections.

POS code HELP

We are trying to create and file tickets through a telephone encounter and if you manually change the POS from our normal filing code 11 to a 02 as required it will reject the claim stating it does not match our facility POS code 11. We can go over to the claims screen and manually open a claim but then Medicare won’t have the encounter to view.
Does anyone know if this is being waived by Medicare or will we have to swap over our Facility ID everytime we file from schedule to televist?

Progress Note will not open

Has anyone experienced not being able to open a progress note for a patient that is on your schedule?  We are cloud based and use v11e.  Randomly over the past few days, the provider will go to open a progress note from the S jellybean, and gets a partially loaded chart, mostly blank across the top with the spinning blue wheel of death that doesn’t go away.  Tried going to progress note for same patient via HUB and same thing.  Happening to different users on different systems, different visit types (none of which are new).  The other odd thing is random patients that we try to open a new telephone encounter, when it opens up it is already listed as addressed. The plug in we have is still the 2.7.18 as we were fearful of updating to the new one after trying to do so last time only to find it was not stable and they recommended we go back to 2.7.18.  We have a ticket in for all of this, but of course have not heard anything back and providers are unable to chart.  Ideas?

Telemedicine Alternative Services

We are looking for an alternative telemedicine service.  We are using eCW’s Healow solution, but since we can’t get iPhones to work we are looking at about a 25-30% success rate.  We need a back up plan.

We’ve looked at Doxy.me but the free version looks cumbersome (no text or email).  We are discussing the Skype and google options as stop-gap measures for patients that can’t connect via eCW.

What is everyone else using and how well do you think it works?

Televisit Consents

For those of you have not done Telehealth before (like us) and are now thrown into during this emergency.  What are you doing for consent in the Progress Note. 

The consent recommended by legal, is a 2 page document.  That will work great to have the patient sign after this crisis moving forward.

I don’t want to type this whole thing and have the provider read it to the patient and have it have to populate the note.

Is there any short, sweet, highlight, to the point information that is most important for the provider to read and gain verbal consent from the patient.

Is anyone using Hello2Healow? Which version of ECW do you have?

We got a demo of hello2healow and the ease one can get a patient on telemedicine with Hello2Healow is really amazing.

ECW said we need a newer version of 11e. Any news of when its coming out. ECW has been talking about this since 2018 NUC!!

With Coronavirus outbreak, it will be a great time to implement telemedicine and get patients used to the new modality. The $8.3 billion for Coronavirus has provisions to waive restrictions on telemedicine for Medicare. See attached

Messenger Flat Fee

This is a letter to Girish Navani.

Hi

I am glad that ECW has responded with a flat fee for the televisit platform during the coronavirus pandemic. Are there any plans to do a similar flat fee for the messenger. It will be a great goodwill gesture.

Most clinics are operating at 20 to 40% of capacity as patients are afraid to come to the doctor. They will soon shutdown in mass as they are operating below break even. I know a number of clinics and dentists who have already shutdown. This will flood the ERs even more.

Using messenger, we want to send out mass campaigns about televisits, needed immunizations, prescriptions, clinic hours, change in operations etc. Only about 30 to 40 % of our patients have an email address or are web enabled. Most never pick up the phone but always see the text. We want to run multiple messenger campaigns every week and at the current ECW rates, it will be cost prohibitive for a small clinic like us.

I would appreciate a response.

Anyone use custom campaigns yet?

I created a custom campaign today and imported our custom list of pts in there, but after publishing it, we haven’t received any emails/sms/calls. When I go back into the custom campaign and edit it, the list of patients is empty, and if I redownload the csv file that we uploaded with our custom pts in there, it’s blank.

Have you guys been able to successfully send out a custom campaign?

Changes made within ECW version - cloud based practice

Does anyone know of an upgrade that was pushed out on the Cloud Based practices of ECW?  We have noticed several changes in the last 2 days and did not get any notification that changes were made.

1.  The T Jellybean for claims follow up.  This went from showing all my claims pending and worked (198) to only the current ones unworked (5)

2.  The insurance within demos - if you previously typed “aa”, it would only bring up insurance that had AA in the beginning of the master file, now it brings up any insurance that has “aa” anywhere in the name.  e.g. aaa and USAA will now show in the list.

3.  All of our progress notes now print a header as shown below - this is a test patient so none of the info is real PHI.

Smart Form Alternative Solutions

Hello Everyone,

Are there any external (3rd party) solutions which mimic Smart Form functionality? eCW seems to have froze new Smart Form creation requests until later this year. Hence the interest in possible external solutions. Either way, we really appreciate any feedback or solutions you may have in mind.
