Is anyone using Hello2Healow? Which version of ECW do you have?

We got a demo of hello2healow and the ease one can get a patient on telemedicine with Hello2Healow is really amazing.

ECW said we need a newer version of 11e. Any news of when its coming out. ECW has been talking about this since 2018 NUC!!

With Coronavirus outbreak, it will be a great time to implement telemedicine and get patients used to the new modality. The $8.3 billion for Coronavirus has provisions to waive restrictions on telemedicine for Medicare. See attached

Patient photo in demographics problem

ECW has shut down the feature of patient demographic photos on my v11 eclinicalworks. It’s always helpful to put a name to a face but this is been down for nearly 3 months now.  Is anyone else affected by this bug?

Cloud questions

I am considering moving from a locally hosted server to the cloud and have some basic questions. I am a solo physician and know very little about tech, so appreciate any and all suggestions. Here are my concerns?
1) Does the cloud go down very often? If so- how often and on average for how long?
2) Is it noticeably slower?
3) Is support better?
4) Does moving to the cloud affect my integrated local labs and diagnostic imaging services?
5) I have heard that you need two internet providers, is that true?
6) Do I need any special hardware? (such as a VPN connection?)
7) Browsing the forum, I notice people mention billing as a concern. How does going to the cloud affect the billing portion of eCW?
8) How smooth is the transition? Will I need to hire someone with experience in moving eCW specifically to the cloud?
9) Are there a lot of bugs that need to be fixed when you initially move to the cloud? (When I first purchased eCW in 2011 I had a support person who had implemented new clients before and knew what bugs to fix right away and how to set things up correctly. I don’t know who to hire for that kind of thing now.)
10) What happens to your data if you go out of business/retire?
11) Is it very expensive?

Pulmonary nodules tracking?

What method in ECW are practices finding best to track pulmonary modules,  specifically making sure we
remind patients who need a followup scan to get it done.

Can you create a new visit status that will update the S Jelly Bean count?

We want to create a new check-in workflow for the dental staff, but discovered the new visit status we have for them isn’t updating their S Jelly bean, only marking it as ARR will update the S Jelly bean.

Does anyone know if this can be changed or if we can add a visit status to this count?

unexpected update problems- CVS and CCM

Anyone get a surprise yesterday on the SAAS .exe version.  CCM is no longer in the top of the overview column.  I thiough it disappeared but support told me it’s moved to a much lower location on the right tab which is ridiculous.  CCM is hard enough for staff to remember to document time spent, moving it to a unviewable place means let capture of time and hence lost revenue.  I also noticed e-refill scheduled scripts don’t have a X automatically in the refill needed.  I also noticed a few more errors in schedule drugs being transmitted.  I spoke to ECW and they say a fix for all the above is in the works but several weeks away.

What’s going on here.

Why no copy-and-paste ??

I’m certain eCW will call this a “feature” but I call it a crippling effect.

In the web-based version we cannot copy and paste information like is done in the EXE.

In particular - when a note is locked we need to copy some content from that note into new notes.

So the work around is cumbersome
1) print the note as a PDF
2) open the PDF
3) copy the content from the PDF

This completely bypasses the “safety feature” in three steps. While not difficult it’s certainly a hassle we could do without.

Have other people run into this problem and developed a better work-around?

Televisits quality?

Wondering if anyone is using televisits through eclinicalworks. Our biggest problem has been connectivity issues and errors that patients get on their side (no appointment showing up for them etc). 100% of the time we cannot get through a televisit without loosing connection 2-3 times.
We have the fastest business comcast speed available in our area.
Many times we start the televisit and then have to finish the televisit on spruce (which has perfect connection). Plus we are paying $2 per visit with ecw televisits and if we use our other apps we pay nothing extra. We would rather use ecw as patients don’t have to download an extra app. We are about to change to att fiber and we will see how it goes.

So I am wondering if it is even possible to have a good connection with eclinicalworks? What is everyone’s experience?

Portal down again

Anyone else having problems with the portal since Friday.  Patients are complaining the site keeps going down in last 3 days and don’t have ability to access their records during this time of crisis.  I don’t know if ECW can handle the volume perhaps during this COVID-19 situation.

Ways to disable unecessary pop ups

Wondering if there are ways to disable some of the popups.
I see the place to disable popups for when you write prescriptions.
Just trying to cut down on the number of unecessary clicks.
Are there any popups that we can disable??

New header on locked progress notes?

When locking progress notes today, I noticed a new header of patient demographics that is appearing on the locked note.

Is this optional and if so how do I remove it?
Seems redundant.

P2P Healow Profile

I am our practice administrator and in the past I have been able to edit the P2P profiles for providers, typically to manage the visit reasons for their online scheduling. As of now, I am unable to access any providers profile because it is prompting me to log in to the network.

Am I the only one who is now seeing this page?

telemedicine reimbursement

I keep seeing posts about providers adding a lot of telemedicine, especially during this outbreak.  Can someone please explain the reimbursement to justify this?  From what I’ve seen, the 99441-99444 codes reimburse anywhere from 12-30.00, the 99444 requiring more than 30 min of provider time.  How are you able to keep your doors open with these types of visits seeing as that’s about 1/5 of face to face E/M codes.  Am I missing something?

televisit problems - be careful

Ok I was ready to switch over to televisits today but it didn’t go as planed.  Here are the problems I faced.  Hopefully this makes sense.

Provider side: when installing the Healow agent on each provider laptop and desktop, there is a major glitch.  The Healow agent install went well. Then you login to the agent, and it asks you to install a browser plugin and hit refresh.  I installed but loops and keeps asking for the same download and install.  It won’t let me “refresh” as it should.  I had placed a ecw ticket the kind rep showed me how to “reset the cache” for the agent.  Ctrl-alt-M when under healow settings screen.  I did that and the result in out of 4 laptops it only worked on 1.  3 others laptops are stuck in this download browser plugin and refresh loop.  I’ll have to place another ticket for this.

Patients side-

But for patients, the problem is on desktop version via the portal page.  Once on patient portal, it has a button that says View Televisit FAQ and you can press a nice button that tests if the patient’s computer is compatible.  It said no to me even though I have the latest chrome default browser and windows 10 operating system.  The error says “healow TeleVisits use cutting edgebrowser technology to deliver a great experience. Unfortunately,your device is currently unsupported. Please use a laptop or desktop to access your TeleVisits”

So I bypassed that message and went straight to the “Join televisit”.  It then did it’s own nice clean compatibility check and I got “its compatible for browser and audio.” That makes no sense if the other compatibility button said I failed.  And evne though this says I’m compatible, at the bottom it said “My internet connection is only good enough for audio” which can’t be true.  I can zoom and skype multiple visits on my business high speed internet and internal high speed network. 

So then I went to the Healow app as a patient.  Nice easy login and I can easily see I have 1 appointment pending.  I click it’s twice then pressed “Start TeleVisit”. I entered the vitals (note text error - Heart rate and respiratory rate are labeled correctly) and was brought straight to virtual waiting room where it alerts me “waiting for Doctor to join.”  After we connected. it was an excellent connection.

So to summarize, once I get ECW to correctly install the Healow agent on all our laptops error free, Televisit will work very well only if patient uses the Healow app.  If they want to via the portal, there are risks patients will not connect and won’t be happy with the experience.

I do plan on asking ECW to credit these all test visits since they aren’t true visits.

POS code HELP

We are trying to create and file tickets through a telephone encounter and if you manually change the POS from our normal filing code 11 to a 02 as required it will reject the claim stating it does not match our facility POS code 11. We can go over to the claims screen and manually open a claim but then Medicare won’t have the encounter to view.
Does anyone know if this is being waived by Medicare or will we have to swap over our Facility ID everytime we file from schedule to televist?
HELP!!!!!!!

We turned on healow TeleVisits for 4 of our providers to trial and have ran into a few questions

1)  What role does your MA play in this?

2) How are you handling teenagers if they aren’t allowed to have portal access?

3) What about interpretation? How are you handling non-English speaking patients?

4) If you’re not using eCW TeleVisit…how are you securely sending your patient the “link” to join without sharing your providers email addresses etc.

Anyone use custom campaigns yet?

I created a custom campaign today and imported our custom list of pts in there, but after publishing it, we haven’t received any emails/sms/calls. When I go back into the custom campaign and edit it, the list of patients is empty, and if I redownload the csv file that we uploaded with our custom pts in there, it’s blank.

Have you guys been able to successfully send out a custom campaign?
