E jellybean change requests

Hello everyone,

We get flooded by CVS for requests to change to 90 day supply of prescription. 90% of this time it is inappropriate (original prescription is for 10 days of antibiotics, or 7 days or prednisone or a chemotherapeutic agent that is being titrated). Is there any way to select these change bulk request and clear them all.

Is there a way to add a provider’s uploaded signature onto a document that is saved in patient docs?  We are having outside hospitals fax directly to eCW.  Our health information department scans the document and sends to the provider’s D jellybean for review.  We are working with ink but it would save clicks if the signature could be automatically added.

Smart search not available under some logins

Hi all, I have some uses that have only Classic Search available. There is no link to switch to Smart Search.
Anyone one else had this and know where to fix it?

Medication List

Is there a way in Current Medications List that duplicates of these medications or generic/brand can be grouped together or alphabetized?  Patients will long medications lists have duplicates and this could be a patient safety issue per one provider in my practice.  I know in the right chart panel, you can group by date or medication.  Any solutions to this?

MIPS reporting

I found MIPS measures in a couple of places in ECW - under the EHR tab PQRS/MIPS Quality Settings and then in the Registry area.  There only seems to be a small number of the measures that are available to capture data on for ECW.  Are these the only ones there are or can there be additional ones that can be added/turned on by ECW?

We are a surgical office so we are reporting on Carotids Endarterectomy, AAA, Bypass graft after intervention, colonoscopies, etc.  None of these are on the lists when I search them.

If you don’t utilize ECW to report, which outside vendor do you use?

new CCM code for providers

CCM now pays 99491 $84 for 30 minutes spent by Md or NP outside of a physical doing any CCM stuff.  I have the CCM module but I don’t see how it differentiates times spent by a provider entering CCM time versus my RN or MA.  Is anyone aware of an update that allows for proper documentation of 99491 code.

ERA Payer denied for PQRS codes

When we submit claims with pqrs codes, all ERA’s come back marked as ERA payer denied (because the pqrs code we charge 0.01 cents) . So We are unable to run accurate reports and have to manually post the ERA and change the status.
Does any one know a fix for this?
We cannot get anywhere with eclinicalworks.
I imagine there are large practices here that submit pqrs codes and are not having their billers go through each ERA/claim manually?


how to set “Lab Company” default to “All”?

When I’m ordering labs (Treatment—> Labs—> Browse) I want the “Lab Company” drop-down in the pop-up to default to “All”.  Right now it’s set to our external lab company, but I want to also see our in-house labs without extra clicks.  I haven’t had luck finding a way to do this in the My Defaults button of the Lab popup, or in My Settings.  Any tips?

Also, “drop-down in the pop-up” is the name of my next single.

Surgical Procedure Management and Tracking

I’m looking for information on how everyone out there handles and tracks surgical procedures in eCW.  We are a new practice, less than 2 years old.  So we’ve only been using eCW since April 2018.  We are an orthopedic practice and our surgeon does all procedures other than spine.  The way eCW has you create procedures within the interface doesn’t feel like it fits surgeries very well.  The list of procedures has things like collection date and results on there.  Which don’t even apply to surgeries.  And when we track a surgical candidate, we create the procedure while we wait for insurance authorization and medical clearances.  Then the procedure gets scheduled.  Then it gets performed.  I wish there was a way to track the patient from start to finish so I could see a list of all procedures awaiting insurance auth, all that are still awaiting clearances, all that have been scheduled but waiting to be performed, and all that are performed and finished.  And some notification if we are awaiting to hear back from the patient.  I used to track everything on paper in a binder, but then the surgeon couldn’t see what the status was when he wasn’t in the office.

At any rate, if anyone has tips on how they do it, I’d love to hear them.

Care plan review for behavioral health via the Population Health Module

Hi all

Are any ecw customers using the new care plan functionality in eCW?

I am curious how folks are leveraging the care plan review functionality for behavioral health patients.

The review cycle dates seem to be tied to either program enrollment date or date of last review, however with the functionality we cannot figure out how to manage the different review time frames. i.e. the first review due in 30 or 60 days and then the remainder due at 90 day intervals.

Curious how others are managing this

Closing Office

We will be closing our small office permanently in the summer.  No data migration.  Will be closing eCW but need to grant access to be able to release medical records for patients. 

Still waiting on a response from my SAM.

Can anybody relate on the costs, process to do this?  I can not find anything here on on my.eclinicalworks.

Has anyone used the Patient Relationship Management services ecw offers?

What Security Permissions is needed to allow “Customize” Button in Visit Type Preferences

Recently we’ve added some new Visit Types for some dental visits. However, they weren’t customized with the right sections being hidden (like family history, etc). I tried to work with a manager to change these, and while she had the Admin section on the left bar, and could get into the preferences for the Visit Type, the “Customize” button was not there to allow her to get into this section.

Any idea what permissions she needs to ask IT to enable to allow her to get that “Customize” button to appear? See attached.

nurse and MAs (not CMAs) eprescribing on behalf of provider

Does anyone give their LPNs and MAs (our MAs are not certified) permission to eRX on behalf of the providers. I’ve never given the permission to nurses and MAs before and just assumed it wouldn’t be allowed, since I would think it’s driven by the providers SPI and login?  Do your nurses eRX on behalf of a provider or work their refills from from the jellybean or just call in refills?  Our providers want to allow the nurses to do standing prescription orders and I feel like this is opening a really bad can of worms…

What is the red padlock in the encounters screen??

This is probably an easy question, but I can’t quickly find the answers. When you look in a patient’s encounter list (from the note or the hub), it shows a gold, locked padlock to the left for all the locked notes.

But a few of them have red locked padlocks instead. What causes this? I tried unlocking and relocking a note. Didn’t do it.
I added an addendum. Didn’t do it.
I checked for controlled substances written in the progress note. Their presence or absence didn’t make a difference.

Anyone know this one?

Invalid Text Found - replace window

We recently started encountering an error window that warns of an invalid character in a chart and allows replacement.

The error window is named “Invalid Data!”

The text states: “Invalid text found. Please use substitute option below to avoid failures”

There is XML followed by a text box that provides the option to replace the invalid character.

You are forced to either complete the replace or kill the app with Task Manager.  Has anyone else encountered this? Is there documentation out there on why this is occurring and which characters will trigger it?

Is there a way to see Scheduled blocks in the Office Visit Screen?
For example ,  the provider is blocked for a meeting, training etc.  Is there a way to show those on the Office visit screen? 
The providers work primarily off the office visit screen and it would be nice to be able to see these without having to go back to the schedules.
