At the Oct 2016 user’s meeting, there was a talk that included a novel way of Two step authentication via iPhone app (Authy) rather than the EXOSTAR fob. Anyone with any updates or experience on this?

Has anyone taken this upgrade recently?? We are scheduled to take an upgrade and were just informed that it was a brand new version and there aren’t any release notes as of yet. Just trying to get some feelers out so we aren’t going in blind!
Tracking Patient Education
Does anybody know a quick and easy way for providers or nurses to see what if any patient education was previously given to
a patient from within the progress note? Specifically if it was from an order set if possible.
Using Scribe
We have our first doctor that is using a scribe. According to scribe guidelines we need to have something in the progress note that states “ I have reviewed and agree with the above documentation as written by my scribe, blah blah blah “. eCW states they are unable to add this to the doctors signature when locking the note. Does anyone find a best practice where to document this?

Is there a way to set up a provider so he cannot be double booked?
I need to either set up a provider so that he cannot be double booked for appointments, or restrict specific users from double booking…..yes it would be easier to fire the one doing the double booking when told not to, but until administration addresses it, I’ve been asked to set something up. I’ve already restricted booking appointments in non-schedule slots (like lunch hours).

Vitamins/supplements in Current Meds
How do you handle all these given the fact that many don’t appear in an All Rx search? We have a provider who wants to use “Unknown” and then add the supplement, say “Bat Wing Dust” into the Notes section. We are going, “Uhhh, NO.”

Our TEST findings .....so far in 10e SP2.5.38
Since the upgrade in out TEST environment here are a few things we have noticed. Still have a few questions that are hopefully answered in the release notes. Please note we are ONLY USING THE .EXE VERSION
* You no longer need to use “/” in DOB for patient lookup!!!
*Allergies are no longer separated by Structured and Non-Structured. You now have Rx Lookup or Add (Add gives you the non-structured drop down list)
*Hospitalizations now show on the ICW
*An ICD/Assessment code can now be associated when documenting the Imm/Ther Inj.
*CDSS seems laid out better. There are options to satisfy the alerts straight from the CDSS window. For example if a patient needs a PHQ2 done to satisfy the Depression screening you can click on a symbol and the PHQ2 smart form appears. When you save the form you are brought back to the CDSS window.
*Red ! seem to be all over the place. In the notes and on the ICW. Still trying to understand these.
*In Flowsheets there in a new option for “New Flowsheet Encounter”. I haven’t played much with this yet.
*Turned on the “showunlockenc” itemkey and LOVE LOVE LOVE it!!! Providers can click a box on their office visits screen, select a date range and view all of their unlocked encounters!!! No clicking through each day!
*When comparing the My Settings there is now an “I” for Immunotherapy Queue under the Views tab. No clue what this is for yet.
*We are still testing the Registration Rule Dashboard. As of right now we have not found a way to satisfy this warning. Any help would be appreciated.
* In Document Management there is now a “Service Date” box under the Scanned Date. Curious as to what implication this has. Does it do anything? Does it affect Medical Records request searches?
*When going to Info> Misc Info> Nickname This now shows in the Progress Note Dashboard by the patient’s name!
So far those are some of the findings we have seen. If you have any further info on any of these areas please feel free to post!!

Dragon inserts a new line when provider pauses
Hi all,
I wanted to run this by you to see if anyone has seen this happen with them.
When using Dragon to dictate into the HPI section, and a provider pauses, it automatically drops the cursor down to the next line and capitalizes the next thing they say. I am able to recreate this issue every time. I did check to make sure my settings allowed for pauses (Tools > Auto-Formatting Options > “Allow pauses in formatted phrases”) but that doesn’t seem to have any affect on this issue.
We have Dragon Medical-Network Edition (Version 12.51.202.093) with local installs on the physicians PC’s. My understanding is that some options are controlled administratively and some are local to the machine.
Any insight into this issue is greatly appreciated! I cannot recreate it using Word so I haven’t called Nuance support just yet as it seems to be specific to working within eCW.

Hard Close
It has been my assumption that when a Hard Close is done, it will lock unlocked notes on the provider’s schedule. We only started doing hard closes a few months ago, but I am adamant about the notes being complete and locked so that they are not locked by the Hard Close unfinished. Is this the case? We are now being told it is not. Unlocked notes will remain unlocked? Our billing department is not diligent about unlocked notes, so I can see notes being left unlocked and incomplete that no one catches. It shouldn’t be my responsibility to look for and remind clinics about unlocked notes, but somehow it’s become that.

MIPS DASHBOARD - GROUP REPORTING
Does anyone happen to know when group reporting will be available on the MIPS dashboard?
“Medical History Will Not Be Updated in the Right Panel”
As of a few days ago we suddenly have the above show up randomly in the Medical History section. I can update the Medical History in the progress note but it will not be updated in the right chart panel and more importantly not carried forward to the next progress note. This happens only in every 5th patient encounter or so. Support called and seems stunned. They say it has to do with the fact that a future appointment is already scheduled but we have not had this problem ever before and I have been with eCW for more than 10 years!
Anybody else having this issue? Any suggestions/help?

GYN History OB History Duplication Issue
Hi all
Has anyone experience a duplication of data within the GYN History OB History sections of a progress note. We recently had our application servers run out of memory due to this apparently. eCW is noting we need to go into each progress note and delete the duplicate data. They have indicated this is a workflow issue.
Appreciate any insight from the group.

The OB History and Gyn History will duplicate each time a new progress note is opened.
It is unclear whether this has to do with a user merging the histories in a template multiple times or something else.
The History section may be duplicated hundreds of times, which will cause the note to freeze as well as general user slowness.
Provider signing locked notes
Is there a way for the provider to sign notes without unlocking them? We do shot clinics on certain days of the week, so when we are done the nurses lock the note and assign them to a provider. We just recently discovered that nobody has been going back and reviewing these notes. Is there a way to go back and her sign these without us having to unlock every note? Not sure about using the co-sign feature since these are nurse visits….We just recently had a change in office management and are finding a lot of things that have not been done properly :(
Device Is Not Authorized
Noticed new notification on my.eclinicalworks.com - 8/29 about enhanced security filters.
Curious if any cloud clients are getting reports from users getting timed out of using eCW while they are actively using application. Also they are getting message about “device is not authorized”.
Issue appears to be random and not computer specific. Some computers that are getting this message, are able to log into eCW a few minutes later.

10e - Can not get in on Mac using chrome
Wonder if anyone else is having this problem?
We upgraded(who knows what version!) and I can use 10e from my computer(chrome on windows machine).
We had to download a patch(administrator only).
But, can not even get to the log in window for 10e using chrome on my Mac.
Just says can not access site(using web address given by IT).
Our IT guys don’t know why. No one else is using Mac yet.
Anyone else experienced this?
