unable to verify Current Medications when there is another appt that day

Some of our providers have run into this issue noted in the Version Notes, but even in situations where the Current Medications have NOT been accessed/verified by a provider in a future visit and the provider is NOT attempting to delete a medication (our providers select Not Taking or Unknown).  For example, one of our pediatricians sees a patient who also has a Behavioral Health appointment later that day.  The pediatrician is unable to verify the meds, and the Behavioral Health clinician has not accessed the patient’s chart let alone verified medications since that is not done by a LCSW.

Our IT department hasn’t been able to replicate the issue and is aware of the product key provided in the notes.

Has anyone else had this issue?


best way for provider to see when patients are ready

I’m encountering a time-consuming, distracting annoyance that I hope someone has a fix for.  My “S” jellybean turns yellow when a patient arrives, of course.  If I am working in another patient’s chart, catching up on a previous day’s progress notes, going over labs or messages, I have to keep switching back to the present day’s Office Visits screen to see when the arrived patient is ready for me.
If I’m on the floor with back-to-back patients it’s not an issue, but if I’m at my desk or in a charting alcove when there is time between appointments, at the start of the day, or at the end of lunch I find it really disrupting. 

Does anyone have a tip or trick for how to see when patients are ready, that doesn’t involve closing what you’re working on and multiple clicks to other screens?  (In the EHR at my previous practice, the notification turned yellow when a patient arrived and then turned green when the patient was ready… I miss you, Athena!)

Charges-Payment Summary question

Hello All,

I am new to ECW and I am learning the program with no formal training or manuals.

I am trying to pull some charges and payment information for a particular day (Saturday’s) for a particular doctors. I ran across a report on Google called Charges-Payment summary and thought this might be the best report. The problem is that I can’t find that report under “Exceptions” like the video suggested.

Does anyone out there know how I can pull this information quickly for Charges and Payments for all Saturdays from the beginning of the year to date?

Further, are there any free manuals or go to video’s for newbies like me?

10e Plug-ins installation

For anyone using 10e how do you install the required plug-ins? Do you simply open the EXE and go to Help > Launch 10e Url and they simply install at the pop-up? I’m assuming this is how it is designed to work. I’m also assuming it isn’t logical for the IT staff to login as admin on every computer and manually install these plug-ins? What if your clinic has hundreds of computers?

This is the solution we were told. The plug-ins must be manually installed on each computer as the admin. We’ve been going back and forth with eCW for weeks now and this is their final solution. We thought it might be our network/firewall so three of us tried to download the plug-ins from home (completely different network obviously) and the same thing happened, progress bar freezes when downloading.

How do the plug-ins install for you?

GO button in treatment window

For some reason this problem is giving me fits.  Two of our providers have a GO button in the treatment window when ordering Labs/DI or Procedures.  All others are able to add the name of the test and get a real time search, then click and drop the order.  These two (on new laptops) have to type and then click a GO button, that no one else has.  I know it has to be a setting, but I’ve been unable to find it. Help is appreciated.

Charts unexpectedly showing up under S Jellybean’s “Review Progress Notes”

A week ago my S jellybean turned yellow and had an extra circle around it, even though no patients were checked in. Apparently there were progress notes for future appointments that are assigned to me for review. I am the provider for most of the notes, but others are for visits with other providers.

Now I have 107 progress notes sitting in that section. Any idea what is going on here? Why are future progress notes sitting in this section, why are there notes from other providers, and why are there any notes at all here? We don’t have any midlevels, or cosigning, or anything that would cause us to use this functionality, though I’m not quite sure I even understand the function.

External Rx History: Reliable or Simply Not Working

Anyone else have issues with External Rx History? It seems to work best the next day when I’m doing our daily chart audit, and not very well on the day of the visit when the MA needs it to work. Also, certain insurances seem to not pull anything, which leads me to think it’s on their end, but sometimes that same insurance will show info on another patient. Not sure if this is ticket-worthy as it’s not consistent, but I wondered what you all face. It’d be super helpful if this worked all the time and reliably!

Ordering Physician to auto-populate on a claim?

I saw this issue had several posts back in 2014, but nothing much since.  We were using RCM for billing (don’t!) and now our billing dept is handling everything.  They are getting denials from Medicare because the DK’ qualifier and ordering provider are not populating in box 17. 

We are told by eCW that there is not a way to have an Ordering Physician auto populate on a claim.  We will need to select the Ordering Physician at CPT level manually. 

Anyone run across this situation and have figured out how to satisfy the denials?  One of the eCW billing trainers says there is an edit that can be created for either individual CPTs or a range of CPTs that require Ordering Physician.  This will show as a claim edit only for those CPTS that require Ordering Physician. 

Could use some assistance with this?  Are you manually adding this at CPT or claim level or has eCW figured this out over the years?

P2P - Removing provider

I have had several providers leave over the last year.

How do I get them out of my P2P?

I can’t seem to locate a disable button. We have made the provider inactive however we still get her P2P incoming referrals.

Bug ID - eCW no longer providing Bug IDs

From my call with eCW yesterday, they are no longer providing Bug IDs. I was told this is a recent policy change.

I forwarded this message along to my SAM and awaiting a response. This is frustrating as I often refer to them to get a status update.

Are keyboard hotkeys/shortcuts dead in 10e?

While perusing the 10e tutorial videos, I’ve noticed that there are no more underlined letters to denote keyboard shortcuts (eg. press Alt-C to press the Close button which has the C underlined). I’m not even sure if these shortcuts are possible with it being browser-based.

So, have keyboard shortcuts been done away with beyond the native Windows’ functions? If so, that would be a shame. Although they weren’t the most useful (no consistent shortcut for Next or Previous when going through the progress note), I use them often to send telephone encounters from a progress note (Alt-P-T), or to put in the billing info from the S Jellybean (select the name, Alt-B, type the followup, Alt-C to close, Alt-C to bring up the Check in/out screen, check patient out).

Medications Linked to Diagnoses

It seems that whenever we have an upgrade to the program that the link between any medication and a diagnosis is lost. It seems to me that this is a relatively big deal since now many meds will not be filled at the pharmacy with an incorrect or absent diagnosis code. Yet I can’t find any link on this forum to that problem. This makes me wonder if it is a problem inherent to my particular installation. We recently updated to Ver10 SP2.5.12 and sure enough we are back at square one again! Anyone else in this boat??

Macros Issues?

Anyone ever have any issues with Macros?

I have a psych practice using this feature, only two docs, but my pedi practice doesn’t so I haven’t played enough to know of any issues. One of the docs says Macros stops working sometimes but when she leaves the note and comes back, it’s fine. It’s not something I can troubleshoot or pinpoint, so I haven’t opened a ticket. The other doc hasn’t had issues and I’ve followed along with the one who has and it’s not her. She also only works once a week, which makes troubleshooting hard. I’m hoping it’s not one of those things that follows certain users.

Thoughts? TIA!

Version 10e EXE - google version - question on remote connection

One of the key “selling” points of using the new version was to be able to allow employees to work from home.  The URL that ECW supplied us with is for internal use only.  Out IT is telling us we need a VPN to connect with it and ECW is telling us we need an SSL to use it.  Is this something that I would need to set up a ticket for?

Has anyone sucessfully been able to launch and use this outside of the office?  We have servers on site so we need to be able to access them.  We were hoping to do away with the remote login that we use now as there’s a delay.  Only other option would be to use the phone/ipad option, but that’s not feasible when we are attempting to do billing remotely.

UDS Module and mandatory training

Does anyone use eCW’s UDS Module and had the mandatory training? We were told you had to get the training in order to get the module turned on. We also have been looking at MediQuire for our UDS Reporting, any thoughts on them?

It would be nice to keep everything in house with eCW but with the support that comes with it I’m hesitant to go this route. The cost is relatively low compared to MediQuire.

“Medical History Will Not Be Updated in the Right Panel”

As of a few days ago we suddenly have the above show up randomly in the Medical History section. I can update the Medical History in the progress note but it will not be updated in the right chart panel and more importantly not carried forward to the next progress note. This happens only in every 5th patient encounter or so. Support called and seems stunned. They say it has to do with the fact that a future appointment is already scheduled but we have not had this problem ever before and I have been with eCW for more than 10 years!

Anybody else having this issue? Any suggestions/help?

Immunizations disappearing from progress note

We upgraded to v10e last week. When I give an immunization during the visit, the documentation for the immunization disappears from the progress note when I sign off on the note. Anyone know how to fix this? Thanks in advance.

Jelly Beans Not Refreshing

We have multiple users reporting their Jelly Beans are not refreshing. They are also seeing Urgent labs, but the bean is not turning red. We have upgraded a few users to IE11 and this has worked for them (this also ran a windows update). Now we are seeing users with IE11 already installed and they are having the issue as well. I am wondering if the latest windows update either conflicted with the beans, or are fixing the beans and some users have not had the update pushed as of yet. OR it could be totally unrelated! Is anyone else having this issue?
